What you will be doing: Directly supervises the records clerks. Responsible for the management of student records, pay and allowances, leaves, government transportation, maximum benefits, and input and exit processing, in compliance with government and management directives.

Essential Functions:

  1. Plan, coordinate and supervise the administrative and student records activities of the department
  2. Provide staff training, evaluate staff performance, recommend and implement departmental changes to the director, finance & administration, and coordinated with the manager, human resources prior to implementation
  3. Assist the director, finance & administration, in the preparation of the departmental budget; monitor and control expenditures; review and recommend changes to budget authorizations
  4. Assist in the development and implementation of new and revised policies and procedures affecting student records
  5. Regularly assess and audit department for contractual compliance and quality of services to students; prepare reports on audits and assessments
  6. Supervise maintenance and preparation of all central student records, reports, and other written communications
  7. Train records clerks on the maintenance and completion of student records; establish work assignments and priorities
  8. Statistically analyze student records; regularly review and audit records for compliance with DOL requirements
  9. Coordinate clothing allowance issue, audit of student pay, government transportation and meal allowance administration
  10. Coordinate with other center staff concerning student records
  11. Supervise input, exit processing, transfers and extensions of student enrollment
  12. Ensure timely and accurate submission of student records, reports and other documents to appropriate national, regional, other contractor and center offices
  13. Maintain accurate and current accountability systems such as morning report, enrollment, allotments, leave records, student pay and profiles

EDUCATION & EXPERIENCE:

  • Associate's degree and two years related experience required, one of which should be supervisory
  • Directly related experience may be considered in lieu of formal education requirements on a year by year basis
  • Excellent written and verbal communications skills and computer proficiency required
  • Valid driver’s license with an acceptable driving record
