Job Summary:
The Assistant Clinical Office Manager assists in overseeing the daily administrative and operational functions of the medical office. This role supports the Clinical Office Manager by supervising front-office staff, coordinating patient services, maintaining compliance with healthcare regulations, and ensuring efficient office operations while promoting a positive patient experience.
Key Responsibilities
• Assist with the daily management of clinical office operations.Â
• Supervise and support front desk, scheduling, and administrative staff.Â
• Coordinate patient scheduling, registration, and check-in/check-out processes.Â
• Ensure accurate patient records and compliance with HIPAA regulations.Â
• Monitor office workflows to improve efficiency and patient satisfaction.Â
• Assist with employee training, scheduling, and performance coaching.Â
• Address patient concerns and resolve service issues professionally.Â
• Maintain office supplies and coordinate equipment maintenance.Â
• Support billing, insurance verification, and prior authorization processes.Â
• Prepare reports, maintain records, and assist with budgeting and inventory.Â
• Ensure compliance with OSHA, HIPAA, and organizational policies.Â
• Collaborate with providers and clinical staff to support quality patient care.
Requirements
- 2–5 years of experience in a medical office or healthcare setting.Â
- Previous supervisory or leadership experience preferred.Â
- Knowledge of medical terminology, insurance processes, and electronic health record (EHR) systems.Â
- Proficiency with Microsoft Office and practice management software.Â
- Strong leadership and team management abilities.Â
