QualificationsPOSITION SUMMARY This position will provide administrative support for one of the following contracts: Ft Sam, Lackland AFB, Randolph AFB, AMEDD or AFMED work contracts.  Work closely with the Administrative Manager and Project Managers to ensure all functions are met. Support the organization in its mission to help change lives through the power of work. ESSENTIAL DUTIES AND RESPONSIBILITIES Work closely with Administrative Manager in processing purchase orders, to include submitting purchase order requisitions and receipts for office, equipment, and maintenance supplies. Update KRONOS (time & attendance) tracking system, ensuring team members time worked and paid time off hours are accurately updated in the system prior to each pay period end date. Prepare data (such as work contract modifications or personnel status changes) for filing or data entry by compiling, sorting and filing information according to established procedures. Provide administrative support by preparing team member status changes, performance appraisal notices, hiring authorization paperwork, team member requisitions, and incident/accident reports. Process invoices for contracts on a monthly basis. Update revenue reporting database (invoices & receipts) and prepare monthly reports. Review budgets and reports and discuss discrepancies with Project Managers. Maintain inventory of office supplies, equipment, vehicles, trailers, radios, fuel, HVAC, etc., and work with Project Managers to set up quarterly audits and discuss any discrepancies. Maintain Preventive Maintenance (PM) files.  Document changes and/or discrepancies and follow up with Project Managers or Mechanics to ensure the completion of notations. (LAFBG and FT Sam only) Process security clearance packets for new team members. Distribute mail and fields phone calls. Provide excellent customer service by greeting, assisting, and responding to questions and/or concerns in a positive, professional, and friendly manner. REQUIREMENTS Education: High school diploma or equivalent (GED) Preferred: Associate’s Degree Certified Administrative Professional (CAP) or equivalent formal training.   Experience 1+ years of general clerical/office experience. Accurately typing at 30 WPM. A combination of experience, education, and/or training which demonstrate the following competencies. Preferred: 2+ years of general clerical/office experience. Previous experience working within a military environment helpful. MS Office Knowledge: Basic accounting (Billing) Working with databases General office/clerical procedures Must be able to meet the physical requirements of the position. For positions that require driving, must maintain a valid driver’s license and automobile insurance coverage, and be able to travel as needed if you drive your vehicle during company business.
