The City of Lawrence is seeking an experienced and highly organized Executive Administrative Specialist to provide advanced administrative, operational, and financial support to the City Manager's Office. This position works closely with executive leadership on high-priority initiatives and requires strong judgment, discretion, attention to detail, and the ability to independently manage competing priorities.

Summary:
The Executive Administrative Specialist plays a key role in City Manager’s Office projects and operations, including property acquisition projects, legislative priorities and testimony, monitoring key legislation, City Commission agenda materials, and coordination with the City Attorney’s Office.

The position supports financial and administrative operations, including budgets, purchasing, invoices, payroll and timekeeping, process improvements, and confidential records, while coordinating with City departments, elected officials, outside agencies, and community partners.

The position also provides direct support to the City Manager and executive staff by managing complex schedules and priorities; coordinating meetings, travel, and events; preparing correspondence, reports, and presentations; conducting research; and tracking projects and deadlines.

Responsibilities:
- Provides advanced administrative support to the City Manager and executive staff.
- Coordinates executive schedules, meetings, travel, events, projects, and deadlines.
- Supports legislative priorities, City Commission activities, special projects, and agreements.
- Coordinates departmental budget, purchasing, invoices, payroll, and other financial activities.
- Prepares correspondence, reports, presentations, research, and executive materials.
- Serves as a liaison with elected officials, City departments, outside agencies, community partners, and the public.
- Handles confidential information and helps improve administrative processes and workflows.

Qualifications:
Five (5) years of progressively responsible administrative experience, including experience supporting executive-level leadership, managing complex schedules, coordinating executive operations, and performing financial administration, budgeting, purchasing, travel coordination, or project coordination. Experience in municipal or governmental operations is preferred.
Â
Two (2) years of post-high school education in business administration, public administration, office management, accounting, or a related field.
Must possess or be able to obtain an appropriate, valid driver's license.

Equivalent to a high school diploma with three to five years of supervisor experience is preferred.
