Smoker Property Management LLC is seeking a dependable, organized, and customer-focused Administrative Assistant to support daily property management operations from our Leola office. This role helps keep communication, scheduling, records, and office coordination running smoothly for tenants, property owners, vendors, and team members.

What You'll Do

In this role, you will help keep daily property management operations organized, responsive, and on schedule by supporting tenant communications, maintenance coordination, records, scheduling, and general office needs.

Responsibilities
  • Tenant, owner, and vendor communication: Answer and direct phone calls, emails, office inquiries, and visitor requests professionally and promptly.
  • Maintenance and scheduling coordination: Track maintenance work orders, follow up as needed, and schedule appointments, inspections, meetings, and property showings.
  • Records and documentation: Maintain accurate property, tenant, vendor, and company records through timely and accurate data entry, document management, lease administration support, and record maintenance. Review information for completeness and accuracy and promptly address discrepancies.
  • Office and accounting support: Perform data entry related to rent collection tracking, invoice processing, correspondence, reports, spreadsheets, mail, office supplies, and general organization.
  • Team and leadership support: Support property managers and leadership with special projects, daily administrative tasks, and a professional, welcoming office environment.
  • Confidentiality: Maintain confidentiality of tenant, owner, and company information at all times.
What We're Looking ForPreferred Qualifications
  • Active Pennsylvania Real Estate License or ability and willingness to obtain one
  • Previous experience in administrative support, property management, real estate, customer service, or office coordination
  • Experience working with property management or accounting software
  • Strong organizational and time-management skills
  • Excellent verbal and written communication skills
  • Ability to prioritize multiple tasks in a fast-paced environment
  • Strong attention to detail and accuracy, with experience performing high-volume data entry and maintaining accurate records.
  • Professional demeanor and customer-focused attitude
  • Positive attitude and strong work ethic
Required Qualifications
  • High school diploma or equivalent
  • Proficiency with Microsoft Office Suite, including Outlook, Word, and Excel
  • Ability to work independently and as part of a team
  • Strong organizational and problem-solving skills
  • Reliable transportation and consistent attendance
  • Ability to sit, stand, and work at a computer for extended periods
