Remote Work: Hybrid
The Executive Administrative Assistant provides administrative and clerical support to E-Staff and Senior Vice Presidents. This involves arranging complex travel itineraries, scheduling complex meetings with various types of media and manages interfaces with vendors, third party contractual service providers, investors, members of Board of Directors, and customers. This role is a true partner to the executive, ensuring their time is optimized by strategically planning a calendar operating model and proactively managing the connectivity of deliverables and preparation. The ideal candidate will operate with a high degree of independence and discretion, anticipating needs and proactively managing a complex and dynamic schedule.Â

This role requires hybrid work (3 days in office/week) in the Lincolnshire, IL office.
Responsibilities:
- Coordinates meetings by developing and managing a strategic calendar operating model, using sound judgment in managing complex calendars and potential conflicts for E-Staff members and Senior Vice Presidents
- Arranges and coordinates highly complex international travel reservations and itineraries
- Interacts with personnel at all organizational levels to coordinate activities, gather information, and prepare reports, exerting proactive influence across the organization to ensure alignment and timeliness
- Assembles materials for Board of Director and Committee meetings
- Documents and finalizes meeting minutes
- Handles highly confidential documents
- Interfaces with vendors, 3rd party contractual service providers, investors, members of the Board of Directors and customers
- Provides training and coaching for other administrative employees
- Identifies, initiates and implements improvements of work processes and the department
- Displays considerable judgment, initiative and political sensitivity
Qualifications:
Required Qualifications:Â
- HS diploma or GED required
- Associates Degree or Above preferred
- 6+ years of experience with 3+ years of experience supporting executive level roles
Preferred Qualifications:Â
- Strategic Mindset: Ability to think ahead, understand business priorities, and strategically manage the executive's time and focus
- Proactive and Forward-Thinking: A "get it done" attitude with a proven ability to anticipate needs, take initiative, and operate with a sense of urgency
- Advanced computer skills required; working with multiple software packages including word processing, spreadsheet, database and graphic/presentation packages
- Advanced work experience with memos, letters, reports with tables, tabulations, merge document work, creation of spreadsheets with formulas, creation of presentations and graphics
Travel Requirements: Possible travel 1-2 weeks per quarter

Salary: USD 76600.00 - USD 115000.00 Yearly
Salary offered will vary depending on your location, job-related skills, knowledge, and experience.
