Position Overview

Under the direction of the Advancement Services Manager, the Advancement Database Coordinator plays a key role in powering Marlborough School’s fundraising and alumnae engagement efforts. Using Raiser’s Edge NXT and other Advancement technology platforms, the Coordinator manages essential gift and constituent data with accuracy and independence while providing the information and insights that enable the Advancement team to build meaningful relationships and achieve its fundraising goals. This is an exciting opportunity for a detail-oriented, curious professional who enjoys working with data, solving problems, and finding better ways to support a high-performing Advancement team. As an active member of the Marlborough community, the Coordinator participates in School and Advancement events, provides excellent customer service, and serves as an enthusiastic ambassador for girls’ education and philanthropy.

Key Duties and Responsibilities

  • Oversee the accurate and timely processing and importing of daily gifts and pledges, including online gifts, credit cards, checks, stock, gifts-in-kind, matching gifts, and memorial and honorary gifts into Raiser’s Edge NXT. Maintain cash receipt journals, gift backup, pledge records, corporate matching gift confirmations, and support monthly reconciliation with the Business Office.

  • Coordinate timely acknowledgment and receipt of all gifts. Create acknowledgments for memorial and honorary gifts and generate and distribute pledge reminders.

  • Partner with the Business Office on monthly gift reconciliation, ensuring accurate alignment between Raiser’s Edge, cash receipt journals, and General Ledger entries.

  • Maintain constituent records and data hygiene, including individual and bulk updates, and partner with the Registrar and other School administrators to coordinate data updates.

  • Create complex queries, exports, mailing and email lists, reports, and other data files to support Advancement and School initiatives.

  • Configure and maintain custom online giving forms to ensure accurate gift and data capture, as well as seamless integration with Raiser's Edge NXT.

  • In collaboration with the Advancement Services Manager, evaluate and improve database workflows, identifying and implementing opportunities to increase accuracy, efficiency, and consistency.

  • Support Advancement events through pulling invitation and registration lists, tracking RSVPs, preparing nametags, and on-site event registration support. 

  • As a welcoming and knowledgeable representative of Marlborough, provide responsive, professional customer service to students, families, alumnae, donors, faculty, staff, trustees, and other members of the School community through email, phone, and in-person interactions, including occasional reception desk coverage and School events.

  • Participate in Advancement and School-wide meetings, professional development opportunities, and relevant conferences and workshops. 

  • Perform other related duties and special projects as assigned.

Qualifications

  • Three or more years of progressively responsible experience in advancement services, fundraising operations, or constituent database management at a nonprofit, preferably in independent schools, higher education, or similar environment. 

  • Demonstrated experience with gift processing, constituent record management, donor acknowledgments, data exports, mailing/email lists, reporting, and process improvement.

  • Proficiency with Raiser’s Edge NXT or a similar CRM; experience with Omatic and online fundraising platforms such as GiveCampus preferred.

  • Advanced proficiency with Microsoft Office, particularly Excel and Word, including complex data files and mail merges; familiarity with Google Workspace.

Work and Schedule Requirements

  • Location & Hours: On-site position in Los Angeles, CA. Monday–Friday, 8:00 a.m. to 5:00 p.m. Occasional early morning meetings, evening events, and weekend support as assigned.

  • Year-End Peak: Due to high-volume year-end giving processing, on-site coverage during the final two weeks of December is a requirement of this role.

  • Physical Demands (Office): Ability to perform stationary desk work for extended periods, including operating a computer and standard office equipment, with or without reasonable accommodation.

  • Physical Demands (Event Support): Ability to stand, walk, and assist with event activities, including guest check-in, nametags, and light equipment setup, with or without reasonable accommodation.
