POSITION SUMMARY


Jewish Big Brothers Big Sisters of Los Angeles (JBBBSLA) is seeking a highly organized, detail-oriented, and mission-driven Development Operations & Events Assistant to support the organization's fundraising, donor engagement, and event initiatives. This position plays a critical role in the daily operations of the Development Department by coordinating donor database management, gift processing, donor communications, stewardship activities, and event logistics. This position is a position within the bargaining unit that is covered by the Collective Bargaining Agreement between JBBBSLA and The Jewish Communal & Social Agency Employees, Local 800 of the American Federation of State, County and Municipal Employees (AFSCME, AFL-CIO, Local 800).


The Development Operations & Events Assistant works closely with the Development Operations & Events Manager, Chief Development Officer, development staff, volunteers, board members, donors, and vendors to ensure all fundraising operations are executed efficiently and accurately. The ideal candidate is a proactive team player with strong administrative, customer service, and organizational skills who thrives in a fast-paced environment and is passionate about supporting JBBBSLA's mission.


ESSENTIAL DUTIES

Development Operations & Database Management

  • Support the day-to-day administration of the Raiser’s Edge NXT database, ensuring accuracy, completeness, and integrity of donor records.
  • Process and batch gifts, pledges, sponsorships, and event payments.
  • Generate donor acknowledgement letters and ensure timely donor recognition.
  • Enter and maintain donor, volunteer, sponsor, and prospect records.
  • Process and reconcile online donations and event registrations.
  • Assist with regular database audits, cleanup projects, and data quality initiatives.
  • Generate reports, queries, lists, and mailing segments for fundraising campaigns and donor stewardship efforts.
  • Maintain accurate records of donor interactions, event participation, and fundraising outcomes.
  • Assist with donor research and prospect identification projects.
  • Coordinate with Finance to support gift reconciliation and record accuracy.

Donor Communications & Stewardship

  • Coordinate production and distribution of fundraising appeals, newsletters, event invitations, and donor communications.
  • Create and manage mailing lists, donor segments, and email distribution lists.
  • Assist in developing donor stewardship materials, recognition lists, and impact reports.
  • Create online donation forms, campaign pages, and event websites.
  • Support donor engagement efforts through timely follow-up and excellent customer service.
  • Respond to donor inquiries and assist with donation-related questions.

Event Support & Logistics

  • Support planning and execution of all fundraising, stewardship, and cultivation events, including:
  • Big Event
  • Golf Classic
  • Sunday Funday
  • Donor cultivation events
  • Recognition receptions
  • Board and committee gatherings
  • Manage event registration processes and attendee communications.
  • Maintain event sponsorship, auction, underwriting, and guest tracking records.
  • Coordinate event materials including nametags, signage, seating charts, registration lists, and guest packets.
  • Track gifts-in-kind, sponsorship commitments, and auction item donations.
  • Assist with vendor communication and logistics coordination.
  • Support event committees and volunteer engagement efforts.
  • Provide onsite event support, including registration, donor hospitality, setup, and breakdown.
  • Maintain master records of event solicitations, sponsorships, and donations.

Administrative Support

  • Answer agency main phone line and route inquiries appropriately.
  • Schedule meetings and prepare development materials as needed.
  • Assist with preparation of board and committee meeting materials.
  • Maintain organized digital and physical development files.
  • Order and manage inventory of development and event supplies.
  • Support special projects and fundraising initiatives as assigned.
  • Work collaboratively with Development, Finance, Marketing, and Program teams to support organizational goals.
  • Perform other duties as assigned.

QUALIFICATIONS

Required 

  • Bachelor's degree or equivalent combination of education and experience.
  • Minimum of 2years of experience in an administrative, development, nonprofit, or customer service role.
  • Experience working with donor databases, CRM systems, or related technology platforms.
  • Strong attention to detail and commitment to accuracy.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Advanced proficiency in Microsoft Word, Excel, Outlook, and related applications.
  • Ability to manage multiple projects and deadlines simultaneously.
  • Ability to work both independently and collaboratively.
  • Strong customer service skills and professionalism when interacting with donors, volunteers, and board members.
  • Ability to work occasional evenings and weekends for events.

Preferred 

  • Experience with Raiser’s Edge NXT or similar donor database.
  • Experience supporting fundraising events or nonprofit development initiatives.
  • Experience with event registration and online fundraising platforms.

PERFORMANCE EXPECTATIONS (FIRST 12 Months)

  • Accurately process gifts and donor transactions within established timelines.
  • Maintain donor records and event data with a high degree of accuracy.
  • Ensure timely donor acknowledgement and stewardship communications.
  • Successfully support the execution of all major fundraising and stewardship events.
  • Produce accurate donor lists, reports, and mailing segments as requested.
  • Demonstrate strong responsiveness and customer service to donors, volunteers, and stakeholders.
  • Contribute to a culture of philanthropy and operational excellence throughout JBBBSLA.
