A financial services company is seeking a senior executive assistant to provide seamless administrative support and lifestyle management to their CEO. In this role, the senior executive assistant will handle corporate administrative functions, oversee domestic operations for the principal’s residence, and serve as a thought partner on corporate and personal matters. The ideal candidate for this role is someone who is exceptionally organized, proactive, and discreet.

Requirements
  • Experience as an executive assistant, chief of staff, executive business partner, or in any other similar role.
  • Proficient in Microsoft Office Suite.
  • Experience managing corporate affairs for a high-net-worth-individual.
  • Ability to handle all matters with the utmost discretion.
  • Detail-oriented and highly organized.
  • Experience managing projects.
  • Excellent written and verbal communication skills.
  • High emotional intelligence.
Duties
  • Serve as the strategic gatekeeper, managing the CEO’s corporate calendar, prioritizing competing requests, and ensuring efficient time management.
  • Coordinate domestic and international corporate travel, including private aviation charters, luxury accommodations, visas, ground transportation, and detailed itineraries.
  • Draft, proofread, and manage confidential communications, board materials, and executive briefings.
  • Interface directly with ultra-high-net-worth clients, board members, and executive leadership on behalf of the CEO.
  • Track, reconcile, and submit corporate expense reports in compliance with company policies.
  • Oversee the daily operations and maintenance of the principal’s residence, ensuring property standards are consistently maintained.
  • Source, contract, and manage third-party vendors, housekeepers, contractors, groundskeepers, and security personnel.
  • Plan private dinners, board retreats, client entertainment, holiday gatherings, and personal celebrations.
