We are looking for a highly organized and detail-oriented Talent Administrative Assistant to support our Talent team across our festival portfolio. This role will provide administrative, financial, travel, and operational support in a fast-paced environment.
Key Responsibilities
Provide day-to-day administrative support to the Talent team across all festivals.
Manage calendars, scheduling, meetings, and internal coordination for the Talent team.
Assist with preparing, tracking, and organizing artist offers, revisions, and booking information across a high volume of talent.
Manage artist guest lists, credentials, and related festival access needs.
Coordinate with Marketing on artist-related initiatives, deliverables, assets, announcements, and deadlines, ensuring projects stay on track from start to finish.
Coordinate with Production on artist-related administrative and logistical needs, ensuring information and deadlines are communicated across teams.
Identify gaps, anticipate needs, and take ownership of projects from start to finish rather than waiting for direction.
Manage Talent-related expenses, invoices, and coding in Ramp, partnering with Finance to ensure timely processing and resolution.
Prepare meeting materials, take notes, track action items, and follow up on outstanding items.
Proactively anticipate administrative needs, solve problems, and keep the team organized with limited direction.
Qualifications
4-7 years of administrative, entertainment, music, events, or related experience preferred.
Comfortable working in a very fast-paced, high-pressure environment where priorities can change quickly.
Resourceful and confident navigating ambiguity, solving problems, and tracking down answers independently.
Highly organized with strong attention to detail.
Excellent communication and follow-through.
Ability to manage multiple priorities and deadlines in a fast-paced environment.
Comfortable working with financial information and administrative systems.
Proficiency with Excel/Google Sheets and Microsoft Office/Google Workspace.
Experience with Ramp, Airtable, or similar systems is a plus.
Interest in live music and the festival industry.
The estimated salary range for this position is DOE and includes medical/dental/vision/401k benefits. This represents the typical salary range for this position and is just one component of DWP's total compensation package for employees.
