Job DetailsJob Location: Wildwood Clinic Madison - Madison, WI 53716Position Type: Full TimeJob Shift: DayPurpose of the Position: The Clinic Receptionist at WILDWOOD FAMILY CLINIC is responsible for providing exceptional customer service and administrative support to ensure smooth operations within the clinic. This role serves as the first point of contact for patients and visitors, managing appointments, and facilitating communication between patients and healthcare providers.  Essential Functions: Greet patients and visitors warmly and professionally, ensuring a welcoming environment. Manage incoming calls, emails, and inquiries, providing accurate information and directing them to the appropriate departments. Schedule and confirm patient appointments using the clinic's electronic health record system, with a preference for Epic experience. Maintain patient records and ensure confidentiality in accordance with clinic policies and regulations. Assist patients with check-in and check-out procedures, including verifying insurance information and processing payments. Coordinate with healthcare providers and staff to ensure efficient patient flow and address any scheduling conflicts. Handle administrative tasks such as filing, photocopying, and data entry as needed. Address patient concerns and complaints with empathy and professionalism, escalating issues to management when necessary. Maintain a clean and organized reception area to enhance the patient’s experience. Participate in team meetings and contribute to continuous improvement initiatives within the clinic. QualificationsRequired Education: - High school diploma or equivalent Required Experience: Previous experience in a customer service or receptionist role, preferably within a healthcare setting Familiarity with scheduling appointments and managing patient records 2 years of Epic scheduling experience Inbound/Outbound phone call experience Required Skills and Abilities: - Sound communication skills - Proficiency in using office equipment such as computers, fax machines, and telephones - Ability to multitask and prioritize tasks effectively in a fast-paced environment - Strong organizational skills and attention to detail Preferred Skills and Abilities: - Experience with Epic or other electronic health record (EHR) systems - Knowledge of medical terminology - Ability to handle confidential information with discretion - Bilingual abilities are a plus Experience in Medical Insurance preferred
