Job Summary
The Office Manager oversees the daily operation of the parish office and serves as a welcoming first point of contact for parishioners, visitors, vendors, and the wider community. Through organized, courteous, and confidential administrative support, the office manager helps parish staff and ministries carry out the mission of Holy Spirit Parish.
Job Responsibilities
Office Operations and Hospitality
- Oversee and manage daily parish office and reception operations, answer phones and email, welcome visitors, and direct inquiries appropriately.
- Oversee and maintain efficient office systems, procedures, equipment, and supplies.
- Provide responsive, professional service to parishioners, staff, volunteers, vendors, and community members.
Records and Communications
- Oversee and maintain accurate sacramental and membership records, parish databases, correspondence, reports, forms, and official documents.
- Responsible for coordinating parish communications, including bulletins, newsletters, announcements, and website updates.
- Responsible for maintaining parish calendars, schedule facilities, and protect confidential records and sensitive information.
Financial and Administrative Support
- Help in processing invoices, purchase orders, deposits, office accounts, and assigned financial records in accordance with parish and archdiocesan policies.
- Support stewardship campaigns and parish fundraising efforts.
- Coordinate as needed with the pastor, business manager, parish staff, finance council, and archdiocesan offices.
Parish Programs and Staff Support
- Coordinate reservations and administrative details for parish meetings, events, ministries, and organizations.
- Oversee and assist with baptism, wedding, and funeral scheduling and documentation, and provide administrative support for sacramental preparation and liturgical programs.
- Recruit and coordinate office volunteers as needed.
- Participate in staff meetings and support parish staff and ministry leaders with projects, planning, and communications.
Job Requirements
- Practicing Catholic preferred; must support the mission, teachings, and values of the Roman Catholic Church.
- Associate or bachelor’s degree in business administration, office management, a related field preferred or related experience.
- At least three years of administrative or office management experience.
- Proficiency with Microsoft Office, parish database software, email systems, and standard office technology.
- Strong organizational, communication, interpersonal, and customer service skills, with the ability to manage competing priorities and meet deadlines.
- Demonstrated discretion and sound judgment when handling confidential information.
Working Conditions
- Ability to sit, stand, and work at a computer for extended periods.
- Ability to lift and carry office materials and supplies weighing up to 25 pounds.
- Availability for occasional evening and weekend parish events.
