POSITION AT A GLANCE

Location: Onsite at the Corporate office in Buter, PA
Position Type: Full-Time, Hourly Non-Exempt 
Schedule: Monday through Friday, 8:30am to 5:00pm 
 


WHAT YOU’LL DO

The Recruiting Coordinator provides administrative and operational support for the company’s recruiting and talent acquisition efforts. This position supports the full recruitment and onboarding process, including job postings, applicant tracking, candidate communication, interview coordination, pre-employment screening, offer preparation, and new hire onboarding.

The Recruiting Coordinator works closely with hiring managers, recruiters, HR team members, candidates, and external partners to help ensure positions are filled efficiently while providing a positive candidate and new hire experience. This position also provides general administrative support to the Human Resources department and assists with maintaining accurate and compliant employee records.

Recruiting & Talent Acquisition

  • Provide recruiting and administrative support for open positions across all company locations.
  • Partner with recruiters and hiring managers to understand position requirements, staffing needs, and recruiting priorities.
  • Prepare and post job openings through the company’s Applicant Tracking System (ATS), external job boards, and other appropriate recruiting resources.
  • Review and screen applications to identify candidates who meet the minimum qualifications of open positions.
  • Route qualified candidates to the appropriate recruiter or hiring manager for consideration.
  • Communicate with candidates throughout the recruiting process and assist with interview scheduling and follow-up.
  • Coordinate interviews between candidates, recruiters, hiring managers, and leadership.
  • Maintain accurate and timely applicant information and disposition candidates within the ADP Applicant Tracking System.
  • Prepare and distribute offer letters and other pre-employment documentation.
  • Coordinate required pre-employment background checks, drug screenings, and other applicable screening requirements.
  • Monitor outstanding pre-employment requirements and follow up with candidates and managers to ensure timely completion.
  • Serve as a liaison with staffing agencies, recruiting firms, background screening providers, job boards, and other recruiting partners.
  • Coordinate and maintain the company’s internal job posting process and track internal applicants.
  • Assist with career fairs, recruiting events, and community outreach activities.
  • Maintain recruiting and career fair materials, supplies, and inventory.
  • Track recruiting activity, open positions, hiring trends, and other recruiting metrics as requested.
  • Assist with identifying effective recruiting resources and sourcing opportunities based on hiring needs.
  • Maintain knowledge of applicable employment laws and company hiring practices to support a consistent and compliant recruiting process.

New Hire Onboarding & HR Support

  • Initiate and monitor ADP onboarding activities for new employees.
  • Communicate with new hires regarding required onboarding documentation and pre-employment requirements.
  • Serve as a liaison between new hires, hiring managers, recruiters, and HR to ensure onboarding requirements are completed prior to or upon hire.
  • Review and maintain Form I-9 and E-Verify documentation in accordance with applicable requirements.
  • Enter and maintain accurate employee information within the ADP HRIS.
  • Scan, upload, and maintain employee documentation within the appropriate electronic personnel files.
  • Maintain confidential personnel, driver, certification, licensing, and other employment-related records as assigned.
  • Perform HRIS data entry and assist with maintaining employee training, certifications, licenses, and other required information.
  • Process employment verification and reference requests in accordance with company procedures.
  • Coordinate new hire materials and assist with new hire kit distribution.
  • Assist with scheduling and tracking employee training programs.
  • Distribute, collect, and track exit interviews.
  • Conduct and maintain required PAA background investigations.
  • Assist the HR team with employee records, reporting, audits, and other administrative projects as needed.
  • Perform general administrative duties including scanning, copying, mailing, preparing correspondence, and maintaining electronic records.
  • Maintain the confidentiality and security of employees, applicants, compensation, medical, and other sensitive HR information.
  • Perform other related duties and responsibilities as assigned.
  • Adhere to and promote all company health and safety policies and procedures and support the company’s commitment to maintaining a safe work environment.


WHAT YOU BRING

â—† Education & Experience:

  • Associate degree in Human Resources, Business Administration, or a related field preferred.
  • Two years of recruiting, Human Resources, administrative, or related experience preferred.
  • Experience with an Applicant Tracking System (ATS), HRIS, recruiting, hiring, and onboarding processes preferred.
  • Experience with ADP Workforce Now or a similar HRIS preferred.
  • Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
  • Experience working in a high-volume or multi-location recruiting environment is a plus.

  • Strong follow-through and sense of urgency, particularly when coordinating interviews, offers, pre-employment requirements, and onboarding activities.
  • Ability to work independently while also collaborating effectively as part of the HR team.
  • Strong problem-solving skills with the ability to identify issues and assist in resolving them in a timely manner.
  • Ability to prioritize and plan work effectively to meet established deadlines.
  • Dependable and accountable, with the ability to follow instructions, respond appropriately to management direction, and incorporate feedback to continuously improve performance.
  • Professional and ethical conduct in all areas of the Human Resources function.

◆ Certificates & Licenses: Valid Driver’s License required for business-related travel; must meet company insurability standards.

◆ Physical Requirements: While performing the duties of this job, the employee is regularly required to sit and occasionally required to walk. The employee must occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
