Why This Role Matters

RMW is adding offices and people quickly, and every new office brings new employees, new state payroll requirements, and new benefits enrollments. Our centralized People team exists so that local offices can focus on clients. The People Operations & Payroll Specialist is the person who keeps that promise: payroll goes out accurately and on time, benefits are set up correctly, new hires are ready on day one, and employees get clear answers when they ask about pay, time off, or coverage.

Reporting to the SVP of Administration, this role owns firmwide payroll processing in BambooHR, benefits administration in Employee Navigator and Ameriflex, onboarding and offboarding, HRIS data integrity, and multistate employment compliance supported by SixFifty.


What You'll Do

Payroll

  • Process semimonthly payroll end to end in BambooHR Payroll for all offices: validate timesheets, enter changes, reconcile, submit, and review registers before funding
  • Maintain accurate pay data: new hires, terminations, pay changes, bonuses, garnishments, direct deposit, and deductions
  • Reconcile payroll to the general ledger and to benefits invoices each cycle; research and resolve discrepancies
  • Manage year end: W2s, 1095Cs, and payroll tax filings
  • Set up and maintain state and local payroll tax accounts as we enter new states through growth and acquisitions
  • Respond to employee pay questions and correct errors quickly

Benefits administration

  • Run open enrollment, new hire enrollments, qualifying life events, and terminations in Employee Navigator across medical, dental, vision, life, disability, FSA, and 401(k)
  • Reconcile monthly carrier invoices against Employee Navigator enrollment and BambooHR payroll deductions; keep the two systems in sync
  • Serve as the day to day contact with our benefits broker and carriers
  • Administer FSA and HSA plans and leave of absence, including FMLA, through Ameriflex
  • Administer COBRA

Onboarding and offboarding

  • Own the new hire process from offer acceptance through the first 30 days: paperwork, I9 and E Verify, system setup, orientation scheduling, and check ins
  • Support onboarding of acquired offices, including employee data migration into BambooHR and benefits transitions in Employee Navigator
  • Coordinate offboarding: final pay, benefits termination, equipment return, exit interviews

HRIS, records, and compliance

  • Keep BambooHR clean and current; run headcount, turnover, and PTO reports for leadership
  • Maintain personnel files and I9s in compliance with federal and state requirements
  • Use SixFifty to keep handbooks, policies, and required notices current for every state where we have employees; track postings, filings, and policy acknowledgments across all office locations
  • Support performance review cycles and career framework updates in BambooHR

Employee support and projects

  • Be the first stop for employee questions on policy, pay, time off, and benefits
  • Draft and update policies and handbook sections using SixFifty templates and state law updates
  • Support recruiting logistics when needed: scheduling, offer letters, background checks
  • Lead process improvement projects, especially automation of manual payroll and HR steps


About You

  • 3+ years in HR, people operations, or payroll, with at least 2 years processing payroll end to end
  • Hands on experience with a mainstream payroll/HRIS platform; BambooHR strongly preferred
  • Multistate payroll experience preferred
  • Working knowledge of FLSA, FMLA, COBRA, and ACA reporting
  • Strong Excel skills: pivot tables, lookups, reconciliations
  • Discretion with confidential information
  • Clear, plain written communication
  • Experience with Employee Navigator, Ameriflex, SixFifty, or similar benefits and compliance platforms preferred
  • Experience in a professional services or accounting environment preferred
  • FPC or CPP (payroll), SHRM CP, or PHR certification preferred
  • Spanish fluency preferred
