The Chiropractic Front Desk Receptionist plays a vital role in creating a welcoming, organized, and efficient front-office experience for patients seeking pain management and chiropractic care. This position manages patient check-in and check-out, scheduling, insurance verification, and communication between patients, providers, and clinical staff — all while maintaining the accuracy, professionalism, and compassion patients deserve in a fast-paced medical setting.
Essential Functions
Patient Intake & Reception
- Greet patients and visitors in a professional, compassionate manner
- Verify patient identity, update demographics, and ensure completion of required forms and consents
- Manage patient check-in and check-out to support efficient clinic flow
Scheduling & Appointment Coordination
- Schedule all new and current patient visits, follow-ups, procedures, and diagnostic appointments
- Maintain accurate provider calendars and adjust scheduling to accommodate urgent needs
- Communicate appointment instructions, preparation requirements, and clinic policies
Phone & Communication Management
- Answer and triage incoming calls on a multi-line phone system
- Relay messages to providers and clinical staff promptly and accurately using Microsoft Teams and Outlook
- Provide general information regarding services, hours, and patient expectations
Insurance & Financial Processing
- Verify insurance coverage and benefits prior to appointments
- Collect copays, deductibles, and outstanding balances
Medical Records & Documentation
- Maintain organized electronic and paper charts in accordance with HIPAA
- Scan, upload, and route documents to appropriate staff
- Process incoming referrals and ensure required documentation is complete
Front Office Administration
- Maintain cleanliness and organization of the reception and waiting areas
- Manage incoming and outgoing mail, faxes, and correspondence
Patient Support & Customer Service
- Provide clear, empathetic communication to patients experiencing pain or distress
- Assist patients with questions about clinic processes, paperwork, and follow-up care
- De-escalate concerns and direct patients to appropriate staff for clinical issues
Team Collaboration
- Coordinate with medical assistants, providers, billing staff, and management to support seamless patient care
- Participate in staff meetings, training, and workflow improvement initiatives
Compliance & Safety
- Follow all HIPAA, OSHA, and clinic policies
- Maintain confidentiality and protect patient information at all times
- Report safety concerns or incidents to management promptly
Customer Service Expectations
- Build and maintain positive, quality relationships with both colleagues and patients
- Demonstrate a consistent commitment to exceeding patient expectations
- Respond positively to patient concerns with effective problem-solving
- Interact professionally and positively with all internal and external contacts
Qualifications & Skills
- Ability to learn and effectively use the software programs utilized by the practice
