Job Summary

The Facilities and Corporate Services Coordinator supports the day-to-day operations of the organization by ensuring mail services, shipping and receiving, facilities support, document fulfillment, and office operations run smoothly and efficiently. This role serves as a key resource for employees across the organization and helps maintain a productive, well-organized workplace through administrative support, vendor coordination, workspace management, and mail processing activities.

Essential Duties and Responsibilities

  • Process incoming, outgoing, overnight, and interoffice mail. 
  • Coordinate shipping and receiving activities with internal teams and external carriers. 
  • Sort, batch, and distribute wage withholding orders and other business documents. 
  • Execute daily bulk mail and document fulfillment processes. 
  • Manage and maintain letter templates and collaborate with business units and vendors to test and implement updates. 
  • Maintain office supply inventory and coordinate ordering of office materials. 
  • Support facility operations, including workspace setup, office moves, meeting room preparation, and event support. 
  • Assist with vendor coordination and facilities-related requests to ensure a safe and productive work environment. 
  • Provide receptionist coverage by answering and routing incoming calls and scheduling hotline coverage. 
  • Support departments throughout the organization with administrative and operational needs. 
  • Perform other duties and responsibilities as assigned.

Required Qualifications

  • High school diploma, GED, or relevant work experience
  • 1+ years of experience in office administration, office operations, facilities support, mail services, or related administrative roles
  • Experience coordinating multiple priorities in a fast-paced environment 
  • Proficiency with Microsoft Office

Preferred Qualifications 

  • Experience supporting mailroom, print, shipping, receiving, or fulfillment operations. 
  • Experience working with facilities vendors, office logistics, or event setup. 
  • Experience managing document templates, workflow systems, or operational processes. 

The hourly pay range for this position is $20.00 - $23.00. Actual compensation may vary based on factors such as relevant experience, peer and market benchmarks, and geographic location.

The incumbent in this position is expected to be onsite full-time, five days per week.

This position is structured as a temporary-to-hire opportunity. The selected candidate will begin in a temporary capacity, with the potential to transition into a regular position based on business needs, position availability, and demonstrated performance during the assignment.
