Job DetailsJob Location: Trinity Health Hospital Campus & Medical District - Minot, ND 58701Position Type: Full TimeSalary Range: $17.20 - $24.94 HourlyJob Shift: DaysPosition Summary: The Record/Document Imaging Processor supports Trinity Health’s medical record integrity by preparing, scanning, and indexing paper documentation into the electronic health record. This role retrieves hard-copy information from various departments, verifies document completeness, and ensures timely, accurate conversion of records into digital format. Working collaboratively with health information management and departmental teams, the Processor responds to inquiries, reconciles patient documentation with registration lists, and helps maintain organized, efficient workflows. The position operates within a detail-oriented, supportive environment where accuracy, consistency, and communication are essential. Through careful review and dependable data handling, the Record/Document Imaging Processor contributes to secure, accessible, and compliant patient information across the organization. Key Responsibilities: Retrieve, prepare, scan, and index paper medical documents into the electronic health record, ensuring accuracy, clarity, and proper categorization. Reconcile incoming documentation against registration or patient lists to confirm completeness and identify missing or misfiled information. Respond to departmental phone calls, provide assistance, and route inquiries to appropriate internal staff as needed. Maintain organized scanning queues, follow established imaging protocols, and monitor quality to ensure reliable digital records. Communicate effectively with clinical and administrative departments to locate documentation, clarify discrepancies, and support timely record processing. Follow confidentiality, privacy, and data-security standards in all handling of patient information. QualificationsLicenses and Certifications Required: N/A Educational Requirements: High School Diploma or GED preferred. Experience Requirements: Prior medical office or HIM experience preferred. Prior computer skills with Outlook and Excel. Special Skills or Training Requirements: Medical Terminology and /or Anatomy and Physiology are preferred. Must have the ability to communicate effectively, use active listening, asks questions as appropriated, and functions as part of a team. Job requires attention to detail. Physical Requirements: The Record/Document Imaging Processor primarily works in an office or records environment with prolonged periods of sitting, computer use, and repetitive hand movements for scanning and data entry. Occasional walking, standing, bending, and light lifting of files, charts, or storage boxes may be required. Adequate vision, hearing, and manual dexterity are essential for reviewing documents and operating scanning equipment. Environmental Requirements: Work is performed in a Health Information Management or business office setting with minimal exposure to physical risks. The position involves frequent interaction with paper records, scanners, and imaging systems and may require movement between storage areas or departments. The role requires adherence to HIPAA, confidentiality policies, and organizational procedures related to secure handling of patient information.
