At Millis Development & Construction, accurate daily timekeeping and dependable weekly payroll are critical to supporting our field teams and keeping our projects running smoothly.

We're looking for a hands-on, bilingual Payroll & Human Resources Administrator who will take the lead on daily time entries and timecard resolution, process weekly payroll, and provide essential administrative support to the HR team with onboarding/recruitment. This role is ideal for someone who is highly detail-oriented, responsive, comfortable troubleshooting timekeeping issues, and able to work directly with employees and supervisors to resolve problems quickly.

ESSENTIAL DUTIES AND RESPONSIBILITIES

As a valued member of the HR team, you'll own the day-to-day timekeeping process, support accurate weekly payroll, prepare labor and certified payroll reporting, and provide administrative support for onboarding and recruiting.

Responsibilities will include:

•    Lead the daily time-entry and timecard process, ensuring employee time is entered accurately and reviewed each day.

•    Work directly with employees and supervisors to identify and resolve missing punches, incorrect hours, job or labor coding issues, and other timecard discrepancies on a daily basis.

•    Troubleshoot timecard and timekeeping issues in ADP Workforce Now and follow through until issues are fully resolved.

•    Process weekly payroll, including reviewing timecards, hours, overtime, pay rates, deductions, reimbursements, and other payroll-related entries for accuracy.

•    Run recurring labor reports and provide accurate payroll and labor information to HR, operations, accounting, and leadership as needed.

•    Prepare and maintain certified payroll reports and supporting documentation for applicable projects.

•    Maintain accurate employee payroll, personnel, and HRIS records in ADP Workforce Now.

•    Support the HR team with new-hire onboarding, including new-hire paperwork, required forms, employee setup, and onboarding administration.

•    Provide recruitment administration support, including interview coordination, candidate communication, pre-employment paperwork, and other recruiting-related administrative tasks.

•    Serve as a responsive point of contact for routine payroll, timekeeping, and onboarding questions from office and field employees.

•    Maintain confidential employee files and ensure payroll and HR documentation is complete, accurate, and properly retained.

•    Assist with additional payroll and HR administrative projects as needed.

QUALIFICATIONS AND REQUIREMENTS

•    3+ years of payroll, timekeeping, Human Resources, or combined HR/payroll administration experience.

•    Hands-on experience processing weekly payroll and managing high-volume employee timecards; construction, manufacturing, or industrial experience is very helpful.

•    Professional fluency in both English and Spanish (written and verbal).

•    Experience supporting hourly field employees and salaried office staff.

•    Experience using ADP Workforce Now or a similar payroll/HRIS platform.

•    Strong working knowledge of payroll practices, timekeeping, labor reporting, and employee record administration.

•    Experience with certified payroll reporting is strongly preferred.

•    Strong Microsoft Excel and general computer skills.

•    Excellent organizational skills with exceptional attention to detail, accuracy, and follow-through.

•    Strong communication and customer-service skills with the ability to work directly with employees and supervisors to resolve issues quickly.

•    Ability to manage daily deadlines and weekly payroll timelines in a fast-paced environment.

Ability to maintain confidentiality, exercise sound judgment, and handle sensitive employee and payroll information professionally.
