We provide a wide variety of services for our clients that include tax planning and preparation, estate planning, accounting and auditing and general business advisory services. The many large and small family owned businesses that we serve include the agriculture, food processing, cooperative, real estate, transportation, manufacturing, warehousing and medical industries. 


We are actively recruiting a Front Desk Administrative Assistant to help us continue to grow and provide the excellent client service that we are known for. This new team member will join the Atherton Administrative Team, a group of professional administrative assistants who embody our core values: Integrity, commitment, innovation, teamwork, and excellence. Our administrative team is critical to our Firm’s success, contributing every day to our vision of helping the world become more financially savvy—one relationship at a time.


Roles & Responsibilities

  • Perform a variety of routine clerical, reception, administrative duties to assist senior staff and management, including filing, word processing, copying, scanning, etc. 
  • Perform receptionist duties as assigned: Professionally answer and route calls to appropriate staff members, take accurate messages and screen calls for solicitors.
  • Assist clients, vendors and staff members at the front counter: Appropriately greet clients; answer routine questions, exhibiting excellent customer service at all times.
  • Operate a variety of standard office machines and equipment including a personal computer and variety of computer software, phone fax, adding machine, copier/scanner, etc.
  • Schedule staff meetings, assist clients with scheduling appointments, coordinate internal/external meetings and webinars to include preparation of meeting materials. 
  • Order lunches for meetings, set up partner lunches, and tear down/clean up.
  • Office support activities including: stocking water bottles in refrigerators, monitor and replenish paper in copy machines, collect coffee mugs, load and unload dishwasher.
  • Replenish and restock break rooms with supplies. 
  • Assist the administrative team with projects and general day-to-day department activities. 
  • Other duties as assigned.

Requirements

Knowledge of:

  • Modern office procedures and equipment
  • Word processing, 10-key, data entry
  • Basic math skills
  • Customer service 

Ability to:

  • Understand and independently carry out verbal and written instructions.
  • Prioritize tasks using exceptional organization and time-management skills in multitasking with high attention to details.
  • Work in a fast paced environment, maintaining focus on tasks/projects at hand, seeking excellence in final product/results.
  • Use appropriate and correct English grammar, spelling, and punctuation for excellent written and oral communication.
  • Learn and successfully apply current/new office policies and procedures.
  • Maintain security and confidentiality of records and information.
  • Establish and maintain effective work relationships with everyone contacted in performance of job duties, always maintaining a positive, helpful and cooperative demeanor and attitude.
  • Maintain a professional appearance and demeanor at all times.
  • Maintain regular, consistent, and punctual attendance and adhere to all Firm policies and regulations.

Minimum Requirements:

  • High school diploma or equivalent
  • One year office experience, or related experience including multiline telephone experience
  • Proficient in computer software applications: Word, Excel, Outlook
  • Type a minimum of 40 WPM
  • Be able to pass background check, including criminal, credit, employment, & education
  • Be able to work overtime during peak periods or as necessary
  • Ability to work in a fast-paced environment
  • High level of self-motivation, able to work well with or without supervision
  • Required work authorization
