Job Summary

The Boys & Girls Clubs of Snohomish County (BGCSC) is a non-profit organization providing young people ages five (5) to eighteen (18) with a safe and positive place to spend their time before and after school and during the summer. Clubs are strategically located in neighborhoods and are accessible to all kids.

Under the supervision of the Unit Director, the Office Coordinator handles club front office operations, maintains security of who is currently in the club, and assists the Youth Development Professionals in supervising club member as needed. The Office Coordinator communicates with all members, parent/guardians, and other community members. They must be a strong communicator that represents their club in a positive manner. Office Coordinators work with members and their parent/guardians to create an environment that is safe, fun, and encourages personal growth. 

Job Duties

  • Enter member attendance using My Club Hub (MCH) data program
  • Monitors who comes and goes from club, including members, guardians, volunteers, and community members
  • Oversees pick-up and drop-off of members
  • Responsible for the club’s visitor log being completed, up to date, and accurate
  • Collects payments as needed
  • Provides invoices for member fees as needed
  • Utilizes Microsoft and Google platforms
  • Assists with managing program supplies and equipment
  • Engages in physical activities such as sports, S.T.E.M activities, and arts and crafts
  • Supervises the children independently in regulation of WA State Department of Youth and Families (DCYF) and Boys & Girls Club of America standard as needed
  • Support behavior in youth using social emotional learning and trauma-informed practices
  • Work with a variety of youth with various backgrounds
  • Support membership enrollment
  • Ensure youth are safe, this includes all safety requirements for Boys & Girls Club such as the BGCSC Policies for Protection of the Youth
  • Create positive and supportive relationship with youth
  • Actively practice and participate BGCSC Cultural DNA guidelines
  • Maintains organization and cleanliness of club, including but not limited to, all activity spaces, washing dishes, taking out trash, and organization of children’s belongings
  • Maintain proper upkeep of equipment and supplies
  • Completes and maintains training and professional development as required
  • Other duties as assigned by Unit Director

Job Qualifications 

  • Eighteen (18) years of age or older
  • Ability to remain positive and organized in a fast-paced work environment 
  • Ability to incorporate organizational values fun, respect, integrity, community, and acceptance into all practices
  • Prior experience working with youth and knowledge of youth development preferred 
  • Prior experience working in administrative setting or related degree preferred
  • Flexibility to work different hours based on seasonal and operational needs
  • Ability to pass a drug test upon hire
  • Ability to pass a background check in accordance with BGCSC standards upon hire
  • CPR/First Aid/AED certification (or ability to obtain upon hire).

Physical Requirements

  • Ability to stand and walk for extended periods throughout the workday, with or without reasonable accommodation.
  • Ability to occasionally lift and/or move up to twenty (20) pounds, with or without reasonable accommodation.
  • Ability to perform tasks requiring fine motor skills, including use of hands and fingers, with or without reasonable accommodation.
