Position Summary 

RELIVE Health North Wales is seeking a hands on Client Advocate and Clinic Operations Manager to lead the daily operation of the clinic while driving revenue growth, treatment plan conversion, membership growth, client retention, and overall profitability. 

This person will serve as the primary on site leader and Client Advocate, managing the client journey from the initial inquiry and consultation through provider evaluation, treatment plan enrollment, rebooking, follow up, and long term retention. 

The ideal candidate is a strong operator, confident communicator, and relationship builder who is comfortable managing a team, discussing pricing and payment options, reviewing performance reports, and being held accountable for clearly defined business goals. 

Responsibilities 

Lead the daily operation and financial performance of the North Wales clinic. 

Work with ownership to achieve monthly revenue, profitability, payroll, conversion, membership, retention, and growth goals. 

Monitor clinic performance through established key performance indicators and provide ownership with regular updates on results, challenges, and action plans. 

Respond promptly to new inquiries and ensure leads receive consistent telephone, text, and email follow up through the clinic’s customer relationship management system. 

Conduct one on one consultations to understand each client’s goals, concerns, health history, and reasons for seeking care. 

Educate clients about the Relive process, available services, comprehensive bloodwork, provider consultations, memberships, payment options, and appropriate next steps. 

Coordinate with providers before and after appointments to create a smooth client experience. 

Meet with clients immediately following provider and bloodwork review appointments to explain pricing, review the provider’s proposed treatment plan, answer nonclinical questions, and help the client move forward. 

Remain within the nonclinical scope of the position. All diagnoses, treatment decisions, clinical recommendations, and medical questions must be handled by a licensed provider. 

Prepare clear treatment estimates and follow up with clients who do not begin treatment during their initial visit. 

Enroll qualified clients in hormone replacement therapy, medical weight loss, peptide therapy, memberships, and other recurring wellness programs. 

Ensure future bloodwork, provider visits, refills, milestone reviews, and recurring appointments are scheduled and properly documented. 

Manage membership enrollment, rebooking, cancellation conversations, retention efforts, reviews, referrals, and client reactivation. 

Manage, coach, schedule, and hold team members accountable for service standards, responsibilities, and performance expectations. 

Conduct regular team meetings to review goals, results, client opportunities, operational issues, and priorities. 

Ensure appropriate consultation, front office, provider, nursing, blood draw, aesthetic, and treatment coverage based on clinic demand. 

Oversee the client experience from arrival through consultation, provider handoff, checkout, payment, rebooking, and follow up. 

Maintain accurate and timely information in the clinic’s CRM, scheduling, payment, payroll, and reporting systems. 

Manage employee scheduling, timekeeping, onboarding, training, inventory, supplies, vendors, and equipment needs. 

Control payroll, inventory usage, operating expenses, and other controllable costs to support clinic profitability. 

Ensure employees complete required training and maintain a working knowledge of the clinic’s services, procedures, and expectations. 

Resolve client concerns and employee issues promptly and professionally. 

Maintain compliance with applicable healthcare, privacy, employment, business, insurance, and safety requirements. 

Support local marketing, community outreach, referral partnerships, and promotional events. 

Key Performance Indicators 

Performance will be measured through clearly established goals that may include monthly revenue, profitability, payroll percentage, lead response time, appointments scheduled, show rate, consultations completed, treatment plan conversion, bloodwork conversion, recurring program enrollment, membership growth, rebooking, retention, cancellation saves, provider utilization, client reviews, referrals, and CRM task completion. 

Qualifications 

Three to five years of leadership, sales, or operations experience in healthcare, wellness, medical aesthetics, fitness, hospitality, luxury retail, or another service based business. 

Experience in a medical spa, wellness clinic, hormone clinic, weight loss practice, concierge medicine practice, membership business, or elective healthcare environment is strongly preferred. 

Proven ability to lead a team, manage daily operations, achieve sales goals, and improve business performance. 

Comfortable conducting consultations, explaining value, discussing pricing, addressing nonclinical concerns, and enrolling clients in appropriate services or memberships. 

Strong understanding of revenue, payroll, expenses, conversion rates, retention, and other business performance measures. 

Excellent communication, leadership, organizational, analytical, and problem solving skills. 

Comfortable working toward clearly defined goals and being held accountable for measurable results. 

Working knowledge of Excel, CRM systems, scheduling platforms, payroll software, payment systems, and business reporting. 

High school diploma or GED required. An associate or bachelor’s degree in business, healthcare administration, management, sales, or a related field is preferred. 

Schedule and Work Location 

This is a full time, in person position at RELIVE Health North Wales. Schedule flexibility is required based on clinic operations, provider schedules, client appointments, occasional evenings, Saturdays, promotional events, and community outreach activities. 

Compensation 

Compensation ranges from $30 to $45 per hour based on experience and qualifications. The position is also eligible for performance based incentives.
