Position Overview
Owns end-to-end delivery of Health Monitor’s digital marketing programs, across email , programmatic, and HER campaign operations, from workflow and systems configuration through vendor handoff, technical QA, and reporting. Serves as the connective tissue between Client Services, Creative, Editorial, Technology, and external development vendors so that every campaign is accurate, on time, and audit-ready, while building the documentation and cross-training that let the function run smoothly beyond any one person.
Essential Job FunctionsÂ
- Workflow & Systems Management:
-  Configure and maintain Health Monitor’s Notion Enterprise teamspace, including workflows, automations, task orchestration, and notifications (e.g., launch notifications to the Sales team). Maintain centralized Help Center documentation and training resources so every team works from a single source of truth.

- Email Production & Handoff – Perform technical review of email design assets and provide feedback during the design phase. Receive email art assets and approved PDFs from Client Services/Creative teams, validate completeness, and transmit to the development vendor (EfficiencyWare) through Notion. Review test emails for links, rendering, and fidelity to approved assets; consolidate internal and external feedback between Account and Technology teams and deliver it to the development vendor. Hand off third-party emails (e.g., rep-triggered emails or emails deployed by vendors such as Medscape or IQVIA) to the applicable client team or vendor.
- Campaign Configuration & Technical QA – Configure email campaign entries in Notion and coordinate UTM parameters and email tagging (including third-party tags) with Technology, the development vendor, and clients. Perform technical QA of segmentation and personalization logic, flagging executions that present technical or best-practice risk. Conduct final pre-deployment technical QA and provide a deployment readiness recommendation. Assist with HTML/CSS audits upon request.
- EHRone
- Maintain list match and pricing process for pre-sales scoping of EHRone programs.Â
- Build and own process for deploying, monitoring, and tracking of EHRone campaigns. Own communications between Client Services, vendors, and campaign reporting teams.Â
- Status Alignment & Reporting – Align the project tracker and weekly account status reporting with Notion records so campaign tasks stay execution-ready. Maintain operational databases and dashboards, reviewing campaign data for accuracy and readiness. Produce client-facing PowerPoint reporting dashboards on a quarterly basis or as requested.
- Documentation & Enablement – Maintain current runbooks and process documentation for all recurring digital production and campaign operations. Provide training and cross-training to internal team members, and support transition and coverage planning so operations continue seamlessly during absences or staffing changes.
- Cross-Functional & Client Support – Participate in recurring coordination meetings with internal and vendor teams. Attend client-facing meetings as needed, including as backup to the client technology lead. Serve as the coordination and escalation point on DNS, deliverability, and ISP reputation matters that remain owned by Health Monitor’s designated infrastructure vendors.
Requirements
- Bachelor’s degree or equivalent experience in marketing operations, digital/email production, or project management
- 8+ years of experience in email marketing production, digital campaign operations, or marketing technology, ideally within pharmaceutical, healthcare, or agency environments
- Hands-on experience configuring and administering workflow platforms such as Notion (or comparable tools), including automations, task orchestration, and dashboards
- Working knowledge of HTML/CSS sufficient to review and audit email code
- Experience with email deployment platforms, UTM tagging, and segmentation/personalization logic
- Strong technical QA mindset with meticulous attention to detail across creative, data, and deployment
- Proven ability to manage multiple concurrent campaigns and competing deadlines in a fast-paced environment
- Excellent written and verbal communication skills, with the ability to consolidate feedback across multiple stakeholders and vendors
- Experience building client-facing reporting, including PowerPoint dashboards and status reports
- Demonstrated ability to create documentation/runbooks and train or cross-train team members
- Comfortable managing external vendor relationships and holding vendors accountable to deliverables
- Proficiency in Microsoft Office Suite, with emphasis on PowerPoint and Excel
- Self-starter who is highly organized, proactive, and solutions-oriented, with the judgment to escalate appropriately on matters outside their direct ownership (e.g., DNS/deliverability infrastructure)
