Patient Care Coordinator – Busy Neurology Practice
We are seeking an experienced, dependable, and highly organized Patient Care Coordinator to join our busy specialty medical practice.
This is a cross-functional position combining front desk/reception, patient coordination, and Medical Assistant/provider-support responsibilities. This is not a front-desk-only role. The ideal candidate must be comfortable working in a fast-paced environment, multitasking, assisting patients and providers, and moving between administrative and clinical responsibilities as needed.
Responsibilities
- Greet, check in, and check out patients
- Answer phones and manage patient messages
- Schedule new-patient, follow-up, testing, and procedure appointments
- Verify demographics, insurance eligibility, referrals, and required documentation
- Collect copays and patient balances
- Scan and maintain accurate patient records
- Prepare charts for upcoming appointments
- Support physicians, PAs, NPs, and other clinical staff
- Room patients and obtain vital signs when trained and assigned
- Perform medication reconciliation and update patient information
- Process prescription refill requests for provider review
- Obtain medication, imaging, procedure, and diagnostic-testing prior authorizations
- Process incoming and outgoing referrals
- Coordinate laboratory, imaging, EEG, EMG, sleep study, neuropsychology, and other testing orders
- Request outside medical records, test results, and hospital documentation
- Monitor faxes, electronic messages, work queues, and provider requests
- Communicate with pharmacies, insurance companies, hospitals, referring offices, and other healthcare organizations
- Assist with forms and patient documentation as directed by providers
- Assist with charge/fee-ticket entry and other billing-related functions as assigned
- Provide coverage for other Patient Care Coordinators and workstations as needed
- Assist with maintaining efficient patient flow throughout the office
- Perform additional administrative and clinical support duties based on the needs of the practice
Qualifications
- Previous medical office experience strongly preferred
- Medical Assistant or clinical experience preferred
- Experience in a busy specialty practice is a plus
- Knowledge of medical terminology, insurance verification, referrals, and prior authorizations preferred
- EMR/EHR experience preferred
- Strong computer and telephone skills
- Excellent organizational skills and attention to detail
- Ability to multitask and prioritize in a high-volume environment
- Professional and dependable with strong patient-service skills
- Must be comfortable cross-training and performing both front-office and clinical-support responsibilities

We are looking for a team-oriented individual who takes initiative and understands that patient care is a shared responsibility. Staff members are expected to assist throughout the office rather than limiting themselves to one workstation, provider, or specific set of duties.
The right candidate will be comfortable working independently, following through on assigned tasks, communicating with providers and patients, and adjusting priorities throughout a busy clinical day.
Experience with neurology, prior authorizations, referrals, specialty medications, or diagnostic testing is especially helpful.
