This position will provide administrative support to multiple departments, including Operations, Sales, and Event Services, as needed. The role will be responsible for performing a variety of administrative duties and providing support to ensure the efficient operation of the assigned departments.
Responsibilities:
- Maintain and track departmental performance metrics, preparing reports and summaries as requested.
- Prepare, distribute, and maintain departmental correspondence, documents, and communications.
- Assist with purchasing activities, including processing orders, tracking purchases, and verifying receipt of goods and services.
- Support departmental financial operations by assisting with reports, recordkeeping, and administrative documentation.
- Prepare and maintain weekly team schedules in collaboration with department leadership.
- Coordinate meeting logistics by managing calendars, scheduling meetings, reserving meeting spaces, and ensuring required materials, supplies, and equipment are prepared and available.
- Receive, sort, and distribute incoming and outgoing mail for assigned departments.
- Submit and monitor facility maintenance requests to ensure timely resolution.
- Distribute departmental information, forms, and communications as directed.
- Operate office equipment, including copiers and printers, and perform document copying, collating, and assembly.
- Maintain organized records and files in accordance with departmental procedures.
- Perform other administrative and operational duties as assigned to support departmental objectives.
Qualifications:
- One (1) to three (3) years of administrative, office support, or operations experience preferred.
- Excellent verbal and written communication skills with a professional and courteous demeanor.
- Strong customer service and interpersonal skills with the ability to interact effectively with employees, visitors, and vendors.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
- Ability to prepare reports, maintain records, and manage confidential information with discretion.
- Strong organizational skills with the ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
- Detail-oriented with a high degree of accuracy in data entry, recordkeeping, and document preparation.
- H.S. Diploma or GED preferred
