Elite Sports Medicine + Orthopedics is looking for a Scheduling Support Specialist to join our team at our Midtown location. This is a full-time, Monday–Friday position, with hours scheduled between 7:00 AM and 5:00 PM. No weekends! What You'll Do As a Scheduling Support Specialist, you’ll play an important role in helping patients get the care they need while providing exceptional service to our patients, providers, and referring physicians. Key responsibilities include: Provide a high level of customer service to patients, colleagues, and referring physicians Answer incoming calls and return voicemails in a timely manner Schedule new and established patients for appointments with our providers Follow provider-specific scripts, scheduling protocols, and procedures Stay up to date on provider contracts and scheduling requirements Review patient information to ensure all necessary documentation is available prior to treatment Request and obtain records and other required information from hospitals, referring physicians, and other healthcare providers Assist with obtaining referring records, demographic information, insurance information, imaging discs, and other necessary documentation Copy, scan, and send applicable medical records and documentation Communicate professionally and effectively with patients and healthcare professionals Work collaboratively with the scheduling and clinical teams to ensure a smooth patient experience What We're Looking For The ideal candidate is someone who: Enjoys helping and communicating with people Provides excellent customer service Remains calm and professional in a fast-paced environment Is highly organized and attentive to detail Can effectively manage multiple tasks and priorities Works well independently and as part of a team Is comfortable communicating with patients and healthcare providers by phone Additional Responsibilities Maintain patient confidentiality and comply with HIPAA, OSHA, and all applicable regulatory and company requirements Complete all required annual training programs Attend meetings as requested Follow the Team Member Handbook and company policies and procedures Perform other duties and projects as assigned by the supervisor KNOWLEDGE, SKILL AND COMPETENCY REQUIREMENTS Knowledge of medical practice procedures and terminology is helpful At least two years of appropriate medical office job experience required Ability to perform multiple and diverse tasks simultaneously Experience performing redundant tasks with minimal error rate Experience working in potentially stressful situations High-level customer service and communication skills Excellent teamwork skills Preference for activities involving face-to-face interaction Ability to use good judgment in the course of work We are an equal opportunity employer, and all qualified applicants will receive consideration for employment without regard to race, color, religion, national origin, sex, sexual orientation, age, disability, gender identity, marital or veteran status, or any other protected class.
