Office Administrative Specialist

DEPARTMENT: Administration 

JOB CLASSIFICATION: Full-Time

FLSA CLASSIFICATION: Non-Exempt

REPORTS TO: Project Executive

POSITIONS SUPERVISED: None

TRAVEL REQUIRED: None

WORK SCHEDULE: Day Shift

 

POSITION SUMMARY

The position is primarily administrative in nature and works with team members to provide advanced administrative support and perform office management functions.

ESSENTIAL FUNCTIONS

  • Provides administrative support to all departments.
  • Maintains an outstanding first impression in person and over the phone.
  • Screens/responds to incoming calls, processes incoming and outgoing mail, provides general information, and welcomes customers, vendors, and internal clients.
  • Performs record keeping, filing, and expense reporting.
  • Completes pre-planning activities for meetings, coordinates office events, books travel and caterers, and sets up the office for success.
  • Performs other related duties as assigned.


POSITION QUALIFICATIONS

  • Demonstrates comfort with customer contact and has a professional disposition.
  • Possesses excellent written and oral communication skills and outstanding human relation skills.
  • Ability to prioritize and take direction from various departments.
  • Quick thinker, at ease under pressure and comfortable trouble-shooting situations.
  • High level of organization.


WORK ENVIRONMENT

Primarily a job trailer on a project site. 

ADA PHYSICAL DEMANDS

The following outlines how much on-the-job time is spent on specific physical activities. Under 1/3 of your time will be spent standing, walking, reaching with hands and arms, climbing or balancing, stooping, kneeling, crouching, or crawling, tasting or smelling, and lifting up to 50 pounds. Up to 2/3 of your time will be spent sitting and talking or hearing. Over 2/3 of your time will be spent using hands to finger, handle, or feel. Our office environment requires extensive computer work and the use of the phone.
