Job DetailsJob Location: Castle Gardens (West Harlem) - New York, NY 10031Position Type: Full-Time Non-ExemptSalary Range: $30.22 - $32.97 HourlyTitle: Intake Coordinator Unit: Housing (MOC-J/Scattered Site) Reports to: Assistant Director of Property Management Status: Full Time; Regular, Non-Exempt Salary Range: $30.22 to $32.97 per hour (approximately $55,000 to 60,000 annually) Location: 625 W 140th Street, New York, NY 10031 Days/Hours: Monday – Friday, 9am – 5pm   Organization Overview: The Fortune Society, Inc. (Fortune) has been working for over 57 years in service to our mission: to support successful reentry from incarceration and promote alternatives to incarceration, thus strengthening the fabric of our communities. The organization has evolved into one of the nation’s preeminent reentry and justice-informed service organizations, providing formerly incarcerated people with the skills and wrap-around services needed to break the cycle of crime and incarceration and to build productive lives in their communities.   Fortune has grown steadily over the years to an agency with over $90 million in annual budget with approximately 600 staff. We anticipate that we will keep growing, both in size and depth of service. Fortune has a dual mission: both advocacy and service. The advocacy portion of our mission focuses on building a more just criminal legal system and reducing the barriers to reentry into society. The service side of Fortune has evolved to encompass a broad range of programs that started with employment and education and now includes a robust array of services, among them: alternatives to incarceration, supervised release, court advocacy, discharge planning within correctional facilities, licensed substance use and mental health treatment, a housing continuum ranging from emergency and transitional through permanent congregate and scattered site housing, assistance in obtaining benefits, a care management unit, HIV services, a food and nutrition program, and an arts program. Each service we provide is informed by the needs of the population we serve. Fortune currently serves approximately 18,000 people a year. Our program models are recognized, both nationally and internationally, for their quality and innovation. They must also communicate effectively, both verbally and in writing   Cultural Competence: Embraces the value and potential of all individuals regardless of race, ethnicity, gender, sexual orientation, or class.   Job Knowledge: The Intake Coordinator must demonstrate excellent job skills and knowledge relating to the housing intake process and understanding of the qualifications for each contract in the portfolio. They should have a critical understanding of the housing landscape and where potential candidates can be placed. Demonstrate expertise in the CAPS system. Possess the ability to establish relationships with housing specialist, case management, and program directors to ensure a steady stream of referrals and possible waitlist.   Essential Duties and Responsibilities:   Assist with operations of referrals and program enrollments, based on contractual obligations; Assist the Transitional Housing Manager to develop and implement strategic operational systems that will enhance programmatic reports and evaluation based on funding goals; Monitor intake of new referrals, coordinate with property management to review housing stock; Input vacant units into the Coordinated Assessment Placement System (CAPS); Ensure roster in CAPS is up to date based on current units and tenants occupying units; Input interview information into CAPS and conduct interviews either in-person or virtually based on vacancy needs; Attend unit meetings, provide updates to program staff, program directors, and executive leadership as needed; Act as a liaison with members of Fortune staff to ensure continuity of treatment from internal and external providers; Work with internal and external program staff to maintain vacancy records and reports across the organization to ensure the expeditious backfilling of vacancies; Conduct and coordinate ongoing outreach for referrals and collect required documentation based on the document checklist for each program or location; Keep records of progress and interaction with referral sources and candidates; Effectively explain to the referral sources and/or candidates all the required documents, as well as answer questions; Communicate appointments, confirmation, document checklist, ineligibility letters and low-priority letters to candidates when applicable; Maintain all documentation received in a designated manner to ensure efficient, effective follow-up to fill vacancies and maintain an occupancy rate of 95% or above at all times; Submit timely monthly and weekly reports on program progress; Conduct weekly vacancy meetings with leadership to provide updates on vacancies and referrals; Ensure referrals that are new to Fortune are added into Caseworthy prior to housing enrollment; Ensure informational material (one-pagers, flyers, contract requirements) are up to date; Travel to other sites as needed to fill vacancies, hold meetings, conduct apartment viewings and support any move-ins; Perform other duties as needed.   QualificationsQualifications: Bachelor’s Degree preferred, with 2 years’ experience working with disadvantaged populations; Ability to apply metrics to review work performance towards funding goals. Knowledge of how to use data to inform program needs; Experience with databases for entering client information; Strong oral and written communications skills required. Experience completing program contract and staff corrective action plans; Bilingual in Spanish a plus.
