Schedule: Monday - Friday; 25 hours a week
Job Summary: Â
The Program Aide/ Admin Assistant is responsible for collecting data for the after-school programs. Â They will provide administrative support by assisting in the coordinationÂ
of all aspects of the after-school program and be responsible for the required documentation. The Program Aide/Administrative Assistant will be responsible for the management of both participant and staff files, including but not limited to: attendance, participant records, staff personal files, incident reports, and other documentation needed for the proper function of the program.Â
Job Functions:Â
• Manage all after-school program data entry within the DYCD Connect PTS and Youth Services database systems.Â
• Assist in gathering data and compiling statistical information for program reports.Â
• Provide support to the leaders in the completion of attendance procedures.Â
• Assist with operational needs of the program where needed. Â
• Attends program meetings when needed.Â
• Manages the office to ensure effective telephone and mail communication both internally and externally.Â
• Ensure maintenance of office areas and equipment.Â
• Purchase office supplies, furniture, and equipment, etc. as neededÂ
• Contact parents to inform about absences and lateness and early pickups and absencesÂ
• Help to prepares written materials (e.g. invitations, memos, flyers, letters, etc.) for the purpose of promoting events and documenting activitiesÂ
QualificationsÂ
• At least two years collegeÂ
• Some college credits in early childhood, youth development, or education preferred Â
• Experience working in NYC public school Â
• Experience with technology, data collection, managing systemsÂ
• Strong organizational skills Â
• Excellent interpersonal skills Â
• Strong time management skillsÂ
• Strong problem solving and analytical skillsÂ
• Proficiency in Microsoft Office applicationÂ
• Bilingual: Spanish/English Â
