About Community Engagement Department at NJPAC

As an integral part of the culture of the New Jersey Performing Arts Center (NJPAC), the Community Engagement Department deeply partners with community leaders to advance the performing arts, literacy, wellness, and cultural events presented by the Arts Center. The Department coordinates collaborations between NJPAC and its diverse neighboring communities to deliver diverse, equitable and inclusive programming that meets the needs and supports culturally vibrant local artists and art enthusiasts. 


The Coordinator, Community Engagement is a key member of NJPAC’s community engagement team who will assist both the Community Engagement staff to execute external community events both on and off site as well as at the Newark based HUBs.


Essential Duties and Responsibilities: 


 

  • Help leadership cultivate deep, authentic collaborations with local artists, organizations, and communities
  • Help leadership produce distinctive and accessible programming to diverse audiences, outside NJPAC’s walls 
  • Assists in the management of the engaged partnerships, 
  • Manages budget for department including tracking, invoicing and vendor payments.
  • Focuses on overseeing the execution of special projects initiated by engaged partners, the programming and development departments including the Parks Project, L&M, ADP and HUBs.
  • Works closely with the marketing department to process all marketing materials, including flyers, posters, e-blasts, and social posts. 
  • Supports the AVP of CE and Producers with administrative duties, including budgeting, creating PowerPoint presentations, scheduling appointments and processing marketing materials for events.
  • Oversees the Engaged Partners event preparation process, including preparation, execution, and follow-up according to timelines. 
  • Manages the Engaged Partners list in Salesforce, updating on an ongoing basis related to all CE activities inclusive of HUBs.
  • Works closely with the NJPAC staff including programming, ticket services and security to paper specific main stage performances. 
  • Manages and updates the CE’s quarterly newsletters that will feature Community Engagement and Community Hubs programming 
  • Oversees the CE update on the NJPAC website, 
  • Performs other duties and assists in special projects where assigned 
  • Conducts research and supports planning for all community Hubs programs involving engaged partners and other initiatives that may be scheduled.
  • Coordinates production elements to proceed smoothly before, during and after the CE and Hubs events, which includes completing space requests and attending NJPAC departmental programming meetings and coordinating volunteer support.
  • Researches content on efforts from Community Engagement partners and events in our designated community
  • Works closely with the Marketing, Press Communications, Development, Graphics and Arts Education on targeted events when needed for the Hubs.
  • Manages promotional initiatives that highlight each targeted event when needed (social media, e-blasts and collateral distribution) for the Hubs.
  • Initiates a marketing and promotions campaign to build audiences for each CE, HUB or engaged partner’s event. 


ADMINISTRATION

  • Manage distribution of promotional materials
  • Provide marketing support in the following:
  • cross promotions events with other cultural entities
  • special promotional events and activities
  • ongoing cultivation of existing promotional and finding new promotional partners
  • Schedule all HUBs and engaged partner’s meetings and prepare follow-up communications afterward, such as thank-you’s, memos, links, collateral sharing
  • maintain the CE’s Master calendar, 
  • Write and edit documents from letters to reports and instructional documents
  • Create and maintain CE filing systems (both digital and paper)
  • Manage CE’s bookkeeping accounts, coding, purchasing, billing and invoicing 
  • Initiate volunteer requests and manage in-house assignments for community engagement
  • Provide marketing guidance for Engaged Partners to cross promotions events effectively. Research content on arts initiatives and events hosted by our Engaged partners and in the Greater Newark area
  • Other duties as requested


Desired Qualifications: 

  • Bachelor’s degree required
  • 2-4 years of relevant or related development experience 
  • Excellent interpersonal, writing and communication skills
  • Capability to manage multiple tasks
  • Strong creativity and initiative
  • Possesses a self-starting, results-oriented personality
  • Team-oriented; good listening skills
  • Exceptional attention to detail
  • General knowledge of event management, producing of events
  • Must be able to work in a fast-paced environment with multiple projects. 
  • Proficiency in the Microsoft Suite MSWord, Excel, PowerPoint, etc, 
  • Experience in SalesForce a plus
  • Frequent availability in the evenings and weekends is required
