Job Summary
We are seeking a highly organized and proactive Administrative Assistant to support our team with daily operations. The ideal candidate is detail-oriented, an excellent communicator, and thrives in fast-paced environment.
 
Responsibilities 

  • Answer and Transfer phone calls to different departments.
  • Manage and approve calendar requests for conference room meetings.
  • Assist Mitigation, Construction, and Administrative teams with document scanning. 
  • Maintain front desk: scanning, files, paperwork, outgoing mail.
  • Weekly ordering of office supplies and maintain inventory.
  • Assist in ordering and maintain uniform inventory.
  • Assist in taking new losses via phone.
  • Support additional administrative support for all departments and employees as needed.
 Key Responsibilities 
- Provide administrative support, including scheduling, correspondence, and filing.  
- Manage calendars, coordinate meetings, and arrange travel.  
- Answer phones, greet visitors, and handle inquiries professionally.  
- Maintain digital and physical records, ensuring accuracy and confidentiality.  
- Assist with data entry, report preparation, and meeting logistics.  
- Support team projects and perform other duties as assigned.


Qualifications
  • 2-5 years experience as a receptionist and/or administrative support.
  • Ability to write and compile reports and correspondence.
  • Previous experience with Outlook, Excel, Word, and PowerPoint.
  • Associates Degree preferred but High School Diploma or GED required.
  • Previous experience within the construction and marketing industries helpful.
  • Must maintain a valid Driver’s License and maintain a safe driving record.
  • Must be able to exercise good judgment and to understand and carry out written and/or oral instructions, along with sound problem solving ability.
