The Senior Administrative Coordinator provides professional, administrative, and operational support to the VPRP Office at the Health Campus. This role serves as a central point of coordination for human resources activities, financial transactions, report and correspondence preparation, and general office operations. The position also provides comprehensive administrative support to VPRP leadership, including coordinating meetings and appointments, planning events and special projects as directed, ordering and tracking supplies, and addressing departmental issues as they arise. This role requires a high degree of accuracy, discretion, and independent problem-solving in support of a fast-paced executive research administration environment.

Duties:

  • Serves as a primary point of contact for departmental administrative and personnel functions.
  • Coordinates with Human Resources Department  including onboarding and offboarding activities.
  • Provides oversight of department payroll coordination and may assist with supervising staff.
  • Acts as payroll coordinator as needed.
  • Provides administrative assistance to VPR leadership, to include but not limited to making travel arrangements, reimbursements, setting up meetings and appointments, and solving departmental issues as they arise.
  • Responsible for purchases with ProCard, entering vouchers and requisitions.
  • Advises on appropriate practices and processes.
  • Responsible for continuous improvement of departmental processes.
  • Assists with the development, implementation, and interpretation of policies and procedures, ensuring compliance with federal, state and university policies and regulations.
  • Coordinates and carries out projects or assignments requiring initiative, independent action and specialized knowledge or expertise.
  • Serves on committees as needed.
  • Performs various duties as needed to successfully fulfill the function of the position.


Required Education: Bachelor’s degree, AND:

  • 36 months of related experience

Equivalency/Substitution: Will accept 48 months of job-related experience in lieu of the Bachelor’s degree for a total of 84 months of related experience.

Skills:

  • Proficient in Microsoft Office
  • Detail oriented for accuracy of data and information
  • Highly organized and able to handle multiple projects and deadlines
  • Strong initiative to solve problems
  • Proficient writing skills for drafting correspondence, summaries, and other required reports
  • Ability to work independently
