FMNE Insurance is seeking an Administrative Assistant to join our Omaha District Office. We're looking for an organized, detail-oriented professional who enjoys helping others and keeping operations running efficiently. The right candidate is dependable, customer-focused, comfortable managing multiple tasks, and committed to providing exceptional service while maintaining confidentiality and accuracy.

Role Overview of an Administrative Assistant:

This position is responsible for, but not limited to, performing a variety of clerical and administrative tasks that support the efficient operation of the district office. Duties are typically guided by established routines, policies, and procedures, and may involve handling confidential information with discretion and accuracy.

Responsibilities

  • Demonstrates the Company’s mission, while successfully performing its core values related to integrity, service, excellence, stability, strength, respect, and teamwork.
  • Answer telephone calls and send messages for claims staff. Document these conversations in the claim file as needed.
  • Answer general claims questions for insureds, claimants, contractors, and agents.
  • Prepare, scan and index documents. 
  • Gather incoming mail and faxes; gather and prepare outgoing mail.
  • Type dictation, recorded statements, letters, forms, and memos for district personnel. Assist other districts with dictation as needed.
  • Pull old wind/hail paperwork and map out claims if needed. 
  • Prepare and mail documents, estimates, and requests for information to assist the adjuster with claims handling including:
    • Prepare and send wage authorizations, medical authorizations, and medical exhaust letters.
    • Request police, medical bills and medical records.
    • Create and update medical expense lists in claim files. Assist in other districts when needed.
    • Create and enter damaged personal property items on contents inventory list in claim files.
  • At the direction of the District Manager, contact the insured and/or claimant and document file accordingly when adjusters have been delayed or unable to make contact.
  • Record and maintain underwriting/field inspection requests. Create claims and underwriting inspections in Symbility for the full time and summer adjusters. 
  • Monitor Summer Adjuster e-mail accounts after they are finished working for the season. 
  • Set up reinspection requests for adjusters to handle.
  • Set up new claims as needed.
  • Maintain contractor list for the district.
  • Handle title transfers.
  • Monitor, order and obtain office supplies as directed by the District Manager.
    • Use the online ordering protocol and submit invoices for payment.
    • Handle and maintain fax and copy machines.
  • Operate personal computer for data entry and retrieval.
  • Regular and timely attendance in the office is an essential function of the position.

Skills and Qualifications

  • High school diploma or equivalent, required.
  • A minimum of six (6) months of experience working in an office or professional environment is preferred.
  • Proficient in operating a personal computer with reasonable keyboarding speed and accuracy.
  • Familiarity with Microsoft Office applications, including Word, Excel, Outlook, and Windows operating systems, is preferred.
  • Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
  • Effective verbal and written communication skills, with the ability to interact professionally with coworkers, insureds, and claimants.
  • Must demonstrate the ability to handle sensitive and confidential information with discretion, integrity, and professionalism at all times.
