Job overview

The Finance & Operation Specialist supports both finance operations and general office administration. This role involves routine accounting tasks, assisting with financial documentation, and ensuring smooth daily office operations. The ideal candidate is detail-oriented, organized, and able to work efficiently in a fast-paced, growing company.


General Responsibilities

Finance Support:

  • Assist with daily accounting tasks including data entry, AP/AR processing, invoice tracking, and basic reconciliations.
  • Prepare and organize financial documentation such as receipts, statements, vendor files, and payment records.
  • Support month-end closing activities by gathering documents, updating spreadsheets, and preparing basic reports.
  • Help maintain accurate financial records and ensure documents are audit-ready.
  • Coordinate with vendors on payment status, invoice clarification, and required documentation.
  • Assist with expense reimbursement processing and internal approvals.

Administrative & Office Operations:

  • Maintain general office supplies, inventory, and vendor coordination (office supplies, maintenance, utilities, etc.).
  • Handle administrative duties such as filing, document management, scheduling, mail handling, and office communication.
  • Maintain organized digital and physical filing systems for finance and office administration.
  • Assist in preparing meeting materials, reports, and internal announcements.
  • Support company events, office arrangements, and cross-department requests as needed.

Support to Financial Supervisor:

  • Carry out assigned tasks to support budgeting, reporting, and cost-tracking activities.
  • Help collect data and prepare information for financial reviews, audits, and internal reports.
  • Ensure deadlines and follow-up tasks related to finance operations are completed promptly.
  • Provide administrative support to help streamline finance workflows and department organization.


Qualifications & Skills

Education & Related Experience:

  • Associate’s degree in Accounting, Finance, Business, or related field required
  • Bachelor’s degree in Accounting, Finance, Business, or related field preferred.
  • 1+ years of experience in administrative or junior finance roles (AP/AR, bookkeeping, office admin).

Must Have:

  • Basic understanding of accounting principles and financial documentation.
  • Proficient in Microsoft Excel and general office software; experience with QuickBooks and Zoho for accounting and record management is a plus.
  • Strong organizational skills, attention to detail, and reliability.
  • Ability to manage multiple tasks and work with minimal supervision.
  • High integrity and commitment to confidentiality.

Nice to Have:

  • Experience in a small to mid-sized company environment.


Working Conditions Disclosure

  • Construction site environment with exposure to dust, noise, extreme temperatures, and large equipment.
