Job Description Summary:
The Product Data Management Specialist provides day-to-day operational support to the NBD Brand Team at KISS USA. This role covers SAP system operations, invoice administration, regulatory document management (WERCS, CPNP), sales request coordination, and general office support tasks.Job Description:
KEY RESPONSIBILITIES
1. SAP Operations
New item setup
- Create new material master records covering Basic Data, Purchasing, and Sales views in SAP MM
- Enter and verify product attributes: item description, UPC/barcode, unit of measure (UOM), product hierarchy, and Vendor/category codes
- Set up packaging and unit conversion data to support accurate order and warehouse processing

Existing product changes
- Process changes requests for existing material master records — including packaging updates, barcode revisions, UOM corrections, and description changes
- Update product status flags (e.g. mark items for deletion / discontinuation) upon receiving approval from the brand or sales team
2. Invoice & Billing Administration
- Process marketing and campaign-related , Product- related invoices (agencies, media partners) with correct cost code allocation
- Compile monthly invoice status summaries for internal reporting
3. Regulatory Document Management
- Update WERCS entries when product formulation, packaging, or labeling changes occur
- Prepare and support submission of CPNP notifications for EU market products; maintain submission records
4. Sales Request Support
- Process COMP (complimentary product) and mock-up requests from the Sales team
- Support preparation of materials for retail buyer meetings (Target, Walmart, CVS, Walgreens, Ulta, etc.)
- Maintain sample inventory tracking and initiate replenishment requests as needed
REQUIREMENTS
✓ English proficiency — prerequisite. Must be able to read, write, and communicate professionally in English across all work tasks.
✓ SAP proficiency — must. Hands-on operational SAP experience is required. MM module experience (material master creation and maintenance) strongly preferred.
✓ Advanced Excel skills. Proficiency in advanced functions, pivot tables, and data manipulation for tracking and reporting.
✓ Executor mindset. Comfortably operating as a reliable executor within a defined scope — this role supports and enables commercial decisions; it does not own them.
✓ Accuracy and attention to detail. Able to handle repetitive, data-heavy tasks with consistent precision.
✓ Team player. Collaborative, responsive, and able to prioritize simultaneous requests from multiple teams.
