The Vendor Data Coordinator plays a key role in supporting vendor management, tax and IRS/1099 administration, vendor compliance, and business process improvement initiatives across the organization. This position is responsible for maintaining accurate vendor information and documentation, supporting vendor compliance activities, and providing exceptional customer support through regular interaction with internal and external stakeholders. Vendor Data Coordinators contribute to customer-focused solutions that enhance operational efficiency and drive business productivity.
Responsibilities include, but are not limited to:
- Collaborate with business partners and cross-functional teams to deliver efficient and effective customer solutions and services.
- Contribute ideas and recommendations as an active member of a collaborative team environment.
- Assist in the creation, maintenance, and administration of the corporate repository for vendor tax and IRS documentation.
- Perform daily, monthly, and quarterly vendor compliance activities to ensure data accuracy and regulatory adherence.
- Maintain and update vendor information and records to ensure accuracy and completeness.
- Review vendor documentation and follow established processes and procedures to support vendor setup and maintenance.
- Participate in departmental and enterprise-wide projects as assigned.
- Maintain positive and professional relationships with customers and stakeholders.
- Identify opportunities to improve processes and operational efficiency.
- Perform other duties and responsibilities as assigned.
Qualifications and Skills:
- Working knowledge of Microsoft Office applications, particularly Excel and Outlook.
- Strong organizational and administrative skills with excellent attention to detail.
- Strong verbal, written, interpersonal, and customer service communication skills.
- Self-motivated, proactive, detail-oriented, and capable of working independently as well as collaboratively within a team environment.
- Excellent time management skills with the ability to prioritize multiple tasks and meet critical deadlines.

Education and Experience:
- 1–3 years of relevant experience in vendor administration, compliance, operations, data entry, or a related field.
- Demonstrated experience working in customer-facing or stakeholder-focused roles, with the ability to effectively communicate business objectives, context, and solutions to diverse audiences.
- Strong interpersonal skills with the ability to build relationships and collaborate across departments and organizational levels.
- Proven ability to communicate information clearly, concisely, and professionally.
- Experience balancing multiple priorities in a fast-paced business environment while maintaining a high level of accuracy and professionalism.
