Job Description

Job Summary

We are seeking an experienced Legal Assistant to support the Transactions practice group with commercial real estate and forestry matters, including real estate closings, title work, and post-closing activities.

Key Responsibilities

  • Request, review, and analyze title commitments, title reports, surveys, and certificates of title; prepare title objection letters and related correspondence.
  • Coordinate with buyers, sellers, realtors, lenders, appraisers, surveyors, title companies, insurance companies, taxing authorities, attorneys, and other parties involved in real estate transactions.
  • Coordinate loan and real estate closings, including reviewing lender closing packages and preparing closing statements, affidavits, payoff letters, disbursement sheets, closing binders, and other documents.
  • Assist attorneys with closings, including fund disbursement, recording deeds, deeds of trust, and UCC filings, obtaining title updates, and issuing title policies.
  • Prepare updated certificates of title and title policy endorsements.
  • Conduct occasional land record research.
  • Track real estate transactions for 1099 reporting and prepare required documentation.
  • Draft real estate documents, including foreclosure notices, lien notices, and cancellation authorities.
  • Open and maintain client files in the firm's intake system.
  • Process invoices through Chrome River and review attorney bills for billing accuracy.
  • Provide general administrative and legal support to attorneys.
  • Enter attorney time into the firm's time and billing system as needed.

Collaboration & Support

  • Work with attorneys across the practice group on various projects.
  • Coordinate with the Office Manager regarding trust account funds received and disbursed.
  • Work with the Secretary on monthly title insurance reporting and new file openings.

Required Qualifications

  • 5–10 years of real estate legal experience in a law firm environment.
  • Strong organizational, communication, and attention-to-detail skills.
  • Ability to manage multiple transactions and deadlines in a fast-paced environment.

Preferred Qualifications

  • College degree.
  • Certified Paralegal CertificateΒ 
  • Land use experience.
  • Notary certification.
