ESSENTIAL DUTIES AND RESPONSIBILITIES · Supervises, coaches, schedules, and supports the canine center administrative assistants to ensure timely, accurate, and consistent administrative support for Canine Care operations. · Develops, maintains, archives, and distributes SOPs for canine center administrative and operational workflows, ensuring documents remain current, accessible, and consistently followed. · Coordinates inventory processes for Canine Care supplies and equipment, including monitoring stock levels, supporting ordering processes, tracking usage, and communicating supply needs to the Manager of Canine Care and Welfare. · Supports logistics for canine center operations, including administrative scheduling needs, records coordination, communication follow-up, meeting preparation, and cross-functional workflow support. · Assists with career change dog evaluation and placement processes by coordinating records, timelines, communications, and administrative follow-up with internal teams and external contacts as appropriate. · Supports designated elements of the foster program, including documentation, communication, supply coordination, record accuracy, and logistical follow-up related to dogs assigned to foster homes. · Monitors and supports accurate use of CRM and departmental recordkeeping systems to ensure dog records, enrichment data, placements, inventory notes, and administrative documentation are updated accurately and in a timely manner. · Partners with the Manager of Canine Care and cross-functional teams to identify process improvements, strengthen administrative workflows, and support consistent communication across the canine center. · Assists with departmental metrics, reporting, facility documentation, and operational projects that support the strategic objectives and present and future needs of the Canine Care department. · Performs other duties as assigned. EDUCATION AND EXPERIENCE Minimum of 2 years’ experience and demonstrated success in people supervision, administrative coordination, logistics, inventory management, or animal facility operations required. Experience developing or maintaining SOPs and working with records, databases, or CRM systems preferred. Understanding of canine care operations, career change placement, foster programs, or animal welfare environments is preferred. QualificationsKNOWLEDGE, SKILLS AND ABILITIES · Excellent interpersonal skills and collaborative style; ability to establish and maintain effective working relationships with team members, volunteers, foster homes, and cross-functional partners. · Strong supervisory, planning, and organizational skills, including the ability to coordinate administrative workflows, prioritize competing needs, and support departmental projects and goals. · Working knowledge of canine care operations, inventory coordination, SOP development, recordkeeping, animal welfare standards, and the administrative processes that support safe and efficient kennel operations. · This position may be required to be on campus when deemed necessary at the direction of management, including occasional rotating weekends. · Excellent oral and written communication skills, strong attention to detail, and the ability to create clear documentation, instructions, and process materials. · Extremely well organized and self-directed with the ability to work well under pressure, handle multiple priorities, follow through on details, and meet deadlines. · Ability to use the current version of Microsoft Office software, CRM or database systems, and inventory or records tools to create, read, update, and interpret reports and other data as needed. · Possess sound business judgment, exercise professional conduct, understand and follow business ethics and standards, and maintain a high level of confidentiality in all duties. · Willing to perform general public relations duties on behalf of Leader Dog (perform tours, answer general questions, be a professional and courteous representative of Leader Dog, etc.). · Must be willing and able to work with and around large dogs or puppies on a daily basis.
