What You'll Do:

  • Keep our CRM, Future Resident List, and marketing files organized, and handle day-to-day admin support for the Sales and Marketing team, including filing, mail, and ordering supplies and collateral.
  • Build and send marketing mailings and materials, and prepare the sales team for expos, tours, and community events.
  • Coordinate event logistics such as RSVPs, name tags, seating charts, AV setup, and work orders, and manage communications and meetings for our Resident Ambassador group.
  • Support the move-in process: schedule settlement appointments, process settlement paperwork and final payments, coordinate move-in day, and put together a welcome gift basket for each new resident.
  • Track marketing and sales activity for our monthly reports, and help residents and families choose room finishes when needed, coordinating with Maintenance and Accounting.
  • Represent the Sales Director at events and community tours as needed, and support the sales team wherever an extra hand is useful.

What You'll Need:

  • Skilled with computers and Microsoft Office suite is required; experience with CRM software is a plus.
  • 2 to 3 years of administrative or executive assistant experience (required).
  • Strong background in customer service (required).
  • Valid driver's license and reliable access to a vehicle (required).
  • Available for occasional evening or weekend events as needed (required).
  • College degree, or equivalent experience in marketing, sales, or customer service.
  • Strong written and verbal communication skills and the organization to manage multiple projects at once.
  • Genuine interest in building relationships with older adults and their families.
