We are currently seeking qualified candidates for a full-time Community Services Coordinator position in the San Antonio area.   The Community Services Coordinator serves as the first point of contact for community members and program participants and plays an essential role in supporting the day-to-day operations of the Foundation’s community programs. The primary responsibilities of this position include answering and managing incoming phone calls, providing accurate information about programs and services, assisting with participant registration, and maintaining accurate and up-to-date participant records in Salesforce for tracking and data management. .   General Requirements:     All duties performed will be done accurately and in a timely manner.   Strong customer service and interpersonal skills with a friendly, professional, and welcoming attitude. Excellent verbal and written communication skills. Computer proficiency, including the ability to navigate common software applications and learn new systems. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and Teams) Strong organizational skills with the ability to manage multiple tasks while maintaining accuracy and attention to detail. Ability to maintain confidentiality and exercise discretion when handling participant information. Ability to work independently and collaborate effectively with a team. Adaptable and willing to assist with a variety of administrative and program support duties as organizational needs change. Ability to maintain an organized, clean, and professional workspace. Ability to sit for extended periods, operate standard office equipment, and occasionally lift up to 25 lbs. Demonstrates professionalism, dependability, and a commitment to providing compassionate service to older adults, caregivers, volunteers, and community partners.     Essential Job Responsibilities: Serve as the primary point of contact for participants, caregivers, volunteers, and community members by providing a welcoming, professional, and customer-focused experience in person and over the phone. Answer and direct incoming phone calls, respond to inquiries regarding Foundation programs and services, and provide accurate information to participants and community partners. Greet visitors at the front desk, assist walk-in participants, and determine their needs while directing them to the appropriate staff member or program. Register participants for Foundation programs, services, and events using Salesforce CRM, ensuring all participant records are accurate, complete, and up to date. Maintain participant files and database records by entering, updating, and verifying information in Salesforce in accordance with organizational policies and procedures. Assist participants with completing registration forms, eligibility, requirements, and other necessary documentation. Monitor the front office to ensure a clean, organized, and welcoming environment for all visitors. Perform daily administrative duties including processing incoming and outgoing mail, maintaining office supplies, organizing program materials, and supporting routine office operations. Prepare meeting and program spaces by stocking refreshments, arranging materials, and ensuring common areas are organized and ready for participants and guests. Provide administrative support, including preparing participant lists, making copies and assisting with special projects as needed. Coordinate appointment scheduling and participant communications as needed, including reminder calls and follow-up correspondence. Maintain confidentiality of participant information while adhering to organizational policies and applicable privacy standards. Collaborate with Foundation staff to ensure efficient daily operations and a positive participant experience.       Qualifications Education and Training: Minimum High school Diploma or equivalent required. Bilingual in English and Spanish required.     Experience:    A minimum of two (2) years of experience in customer service, administrative support, community      services, healthcare, or a related field is required.    Work Environment: This position is primarily based in an office environment and serves as a primary front desk representative for The Gonzaba Foundation         Mental/Physical Requirements:   Requires manual dexterity, sitting, standing, stooping, reaching, kneeling, crouching, bending, walking, lifting up to 25 lbs. without assistance. Close vision and ability to adjust focus.
