The External Referral Coordinator manages the end-to-end lifecycle of outside referrals for injured workers, acting as a liaison between the clinic, patients, insurance carriers, claims adjusters, third-party administrators (TPAs), and external specialty providers. This role ensures that referrals move promptly and accurately from authorization through documentation transfer, scheduling, and loop closure, so that patient care is not delayed.

 

What you will do: 

  • Manage the end-to-end lifecycle of outside referrals, serving as the primary point of contact between insurance carriers, TPAs, claims adjusters, patients, and healthcare providers.
  • Review incoming authorizations for specialty, body part, expiration date, and MPN link before scheduling.
  • Run the MPN to identify an appropriate provider or clinic near the patient's home or the treating clinic, and scan results into IMS for the record.
  • Call prospective external providers/clinics to confirm they accept workers' compensation and to gather the specific documentation and requirements needed to schedule.
  • Compile and send complete medical documentation packets (labs, imaging, prior visit notes, referral request) to external providers ahead of the appointment.
  • Task the Authorization Department or adjuster for amended RFAs/authorizations when required information (provider name, address, accepted body parts, eval & treat vs. consult only, MPN link and expiration) is missing.
  • Follow up aggressively — and document follow-up on pending or delayed insurance authorizations to prevent stalls in patient care.
  • Coordinate and book external appointments for injured workers as soon as carrier authorization is secured.
  • Confirm appointments with patients, send reminders, and follow up promptly on missed or rescheduled visits.
  • Maintain meticulous, organized case records to ensure no pending authorization or referral falls through the cracks.
  • Follow up with receiving providers on record review status and close the loop by obtaining the consult note or outcome summary for the referring provider.

 

Qualifications: 

  • Excellent verbal and written communication skills
  • Strong communication skills to handle high-volume, time-sensitive, multi-party coordination
  • Proficiency with electronic medical records and standard office software
  • Ability to multitask, prioritize, and follow directives in a fast-paced environment
  • Excellent time management skills
  • Demonstrates professionalism in tasks and daily interactions with others
  • Prior experience working in a medical setting; workers' compensation and prior-authorization experience preferred
  • Bilingual (English/Spanish) frequently preferred for California patient populations

 

Compensation Range:  

$23.00 to $24.00 Hourly  

All compensation ranges are posted based on internal equity, job requirements, experience, and geographical locations.
