Operations Coordinator
Summary
The Operations Coordinator role is a part-time role that provides hands-on support to the Sr. Operations Manager across a variety of business operations functions. This position is heavily focused on facilities coordination and day-to-day operational support, while also assisting with accounts payable, accounts receivable, purchasing, logistics, data entry, and select HR-related tasks. The ideal candidate is organized, detail-oriented, proactive, and comfortable handling a wide range of administrative and operational responsibilities in an onsite environment. This is a part-time position with potential to transition to a full-time position.

Key Responsibilities:
Facilities & Office Operations (Heavy Focus):
- Support daily facilities operations to ensure a safe, functional, and well-maintained workplace
- Coordinate with vendors for maintenance, repairs, cleaning, office supplies, and other facility-related services
- Assist with office organization, space planning, and inventory management
- Track facilities-related requests and follow up to ensure timely resolution
- Support compliance with workplace safety and operational policies
Finance & Administrative Support (Heavy Focus):
- Assist with Accounts Payable and Accounts Receivable processes, including invoice tracking and data entry
- Support procurement activities including tracking deliveries, and maintaining records
- Assist with logistics coordination, shipping, and receiving as needed
- Perform accurate and timely data entry across operational systems
HR & Business Operations Support:
- Assist with basic HR administrative tasks such as data entry, compliance and training schedules, record maintenance
- Events and meetings coordination and scheduling
- Provide general support on business operational tasks assigned
- Maintain organized records and documentation across departments
- Provide operational coverage and support by assisting with essential duties when other department team members are out of office, ensuring continuity of operations
Preferred Qualifications:
- Bachelor’s degree required, or currently in pursuit of one (preferably in business administration, operations, finance, or a related field)
- 1–3 years of experience in operations, facilities, administration, or coordination roles preferred
- Strong organizational and time management skills with excellent attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Proficiency in Microsoft Office or Google Workspace
- Strong communication skills and ability to work collaboratively across teams
- Ability to lift up to 50 pounds for facilities-related tasks
- Comfortable working in an onsite office environment and interacting with vendors, contractors, and internal teams
