We are seeking an experienced and highly organized Legal Assistant to join our team in our Saratoga office. This is a full-time, on-site position providing administrative and legal support to attorneys in the areas of estate planning, estate administration, trust administration, and litigation.
The ideal candidate will be detail-oriented, professional, client-focused, and able to manage multiple priorities and deadlines in a fast-paced legal environment. The successful candidate will be comfortable working independently while also taking direction and collaborating with attorneys and other members of the team.
Responsibilities
Provide comprehensive administrative and legal support to attorneys.
Assist attorneys with estate planning, estate administration, and trust administration matters.
Assist with the preparation, organization, and processing of estate planning and estate administration documents.
Coordinate and maintain attorney calendars, appointments, deadlines, and court schedules.
Open and close client files and maintain accurate and organized electronic and paper files.
Coordinate client intakes and assist with scheduling new client consultations.
Greet clients and coordinate client meetings, conference rooms, and related logistics.
Assist with case management and file review.
Maintain discovery and trial schedules and assist attorneys with tracking important deadlines.
Prepare, organize, and electronically file documents with local, state, and federal courts.
Assist with correspondence, document preparation, and other attorney-directed tasks.
Communicate professionally with clients, courts, opposing counsel, and other professionals.
Learn and provide support in additional areas of specialized litigation practice as needed.
Assist with special projects and other administrative duties as assigned.
Qualifications
Minimum of 2 years of experience as a legal assistant, preferably in civil litigation, estate planning, estate administration, trust administration, or a related practice area.
Experience supporting attorneys in a law firm environment strongly preferred.
Knowledge of guardianship matters and Medicaid applications is a plus.
Experience with electronic court filing systems, including local and federal courts.
High level of proficiency with Microsoft Office Suite and HotDocs.
Knowledge of NetDocuments preferred.
Excellent written and verbal communication skills.
Strong organizational skills and attention to detail.
Ability to prioritize and manage multiple tasks and deadlines.
Ability to work independently while also following established procedures and attorney direction.
