Role Overview
We are seeking a detail-oriented and client-focused Bookkeeper / Payroll Specialist to support our growing CPA and tax practice. This role will be responsible for processing payroll, maintaining accurate financial records, assisting with month-end bookkeeping, and serving as a trusted resource for clients utilizing our accounting and payroll services.
Duties and responsibilities
Payroll Administration
- Process payroll for multiple business clients on various payroll schedules.
- Review and verify employee hours, wages, deductions, commissions, and bonuses.
- Ensure compliance with federal, state, and local payroll regulations.
- Prepare and file payroll-related reports and tax documents.
- Resolve payroll discrepancies and respond to payroll-related inquiries.
- Coordinate employee onboarding and payroll setup activities.
- Maintain payroll records and ensure confidentiality of sensitive employee data.
Bookkeeping & Accounting
- Manage day-to-day bookkeeping activities for assigned clients.
- Record and reconcile bank, credit card, and loan accounts.
- Maintain accurate general ledger entries and financial records.
- Prepare monthly financial statements and supporting schedules.
- Assist with month-end and year-end close processes.
- Review transactions for accuracy and proper coding.
- Support tax preparation activities by organizing financial records and documentation.
Client Service
- Serve as a primary point of contact for clients utilizing payroll and accounting services.
- Provide timely responses to client questions and requests.
- Educate clients on payroll processes, reporting, and best practices.
- Collaborate closely with CPAs, tax professionals, and advisors to support client needs.
- Identify opportunities to improve clients' accounting and payroll workflows.
Qualifications
Required
- 3+ years of bookkeeping and/or payroll experience.
- Strong understanding of payroll processing and payroll tax compliance.
- Experience managing books for multiple companies or clients.
- Proficiency with QuickBooks Online and Microsoft Office Suite.
- Strong knowledge of accounting principles and bank reconciliations.
- Excellent organizational skills and attention to detail.
- Exceptional communication and client service skills.
- Ability to prioritize multiple deadlines in a fast-paced environment.
Preferred
- Experience working in a CPA firm, public accounting environment, or outsourced accounting practice.
- Familiarity with payroll platforms such as Gusto, ADP, Paychex, or similar systems.
- Associate's or Bachelor's degree in Accounting, Finance, Business, or related field.
- QuickBooks Online ProAdvisor certification.
- Experience with sales tax filings and business compliance reporting.
