Job Description
The Department of Laboratory Medicine & Pathology has an outstanding opportunity for a Research Study Coordinator 1 to join their team.
About this Opportunity
The Research Study Coordinator with NW Biospecimen/NW Biotrust is the go-to person connecting clinical trials and translational research teams with Anatomic Pathology labs. This position manages the flow of archival specimens, coordinates compliance requirements, and keeps research projects moving — all while working directly with real patient specimens and health information. This requires the incumbent to adhere closely to HIPAA and CLIA regulations under the guidance of certificate holders and lab management. This role has “dotted line” reporting to the CLIA certificate holders and applicable laboratory management staff.Â
This is a great fit for someone who's organized, detail-driven, and energized by being the hub that keeps a complex research operation running smoothly.Â
This is a full-time day shift position located at the University of Washington Medical Center – Montlake campus. The specific work schedule will be discussed with the hiring manager.
The salary information is provided below.
Key Responsibilities
Coordinate specimen and research workflowsÂ
- Process research case requests across all Department of Laboratory Medicine and Pathology labs — accessioning, verifying, assigning, and finalizing work ordersÂ
- Retrieve and return pathology materials from onsite slide rooms; manage offsite storage requests and track materials through UW Medicine Archives and Iron MountainÂ
- Audit archival material movement using systems like Beaker and LabMatrixÂ
Be the compliance and liaison hubÂ
- Partner with researchers to build Statements of Work and budgets, ensuring IRB approvals, patient consents, pathology reviews, and CLIA authorizations are all in placeÂ
- Serve as the bridge between researchers and Anatomic Pathology labs, ensuring every request meets clinical, regulatory, and research standardsÂ
- Query clinical data systems to pull biospecimen clinical annotation dataÂ
Manage the business sideÂ
- Process and reconcile technical research charges; generate reports for invoicing and receivablesÂ
- Advise investigators, grant managers, and coordinators on registration, billing, and process questionsÂ
- Maintain databases, forms, and tracking systems using Microsoft Office and research softwareÂ
Support the broader programÂ
- Represent the Research Cost Center at study start-up meetings and cross-departmental discussionsÂ
- Coordinate scheduling and meetings for the Cost Center/recharge programÂ
- Train team members on Research Charge Center processesÂ
- Help promote research programs to outside organizationsÂ
