The Opportunity:Â
We are seeking a highly organized and professional Administration Operations Coordinator to provide comprehensive support to our Program Manager and Deputy Program Manager. The ideal candidate will be responsible formanaging complex schedules,handling confidential information with discretion and professionalism. Additionally, this role involves managing and streamlining our organization's travel arrangements and expense reporting processes.
Responsibilities:
Manage executive calendars, appointments, and travel arrangementsÂ
Proactive problem-solver with a talent for anticipating needs and managing complex schedulesÂ
Handle sensitive and confidential information with the utmost discretionÂ
Act as a liaison between executives and internal/external stakeholdersÂ
Manage incoming calls, emails, and requests, prioritizing and responding as appropriateÂ
Organize and maintain filing systems, both digital and physicalÂ
Assist with special projects and research as neededÂ
Coordinate and manage travel arrangements, including itineraries, accommodations, and expense reports. This involves booking flights, hotels, and ground transportation for employees, as well as ensuring all travel-related documentation is accurately prepared and submitted.Â
Provide general administrative support to ensure smooth office operationsÂ
Manage relationships with travel vendors and negotiate favorable rates Â
Assist employees with travel-related inquiries and resolve issues that arise during trips Â
Ensure compliance with company travel policies and procedures Â
Process and review expense reports for accuracy and policy adherence Â
Maintain and update the company's travel and expense management systems Â
Analyze travel and expense data to identify cost-saving opportunities Â
Prepare regular reports on travel expenses and trends for management Â
Assist in developing and updating travel and expense policies Â
Provide training to employees on travel booking procedures and expense reporting Â
Reconcile corporate credit card statements and resolve discrepancies Â
Coordinate with finance department for timely reimbursement of employee expenses Â
Qualifications:
Required:
Bachelor's degree in Business Administration or related field preferred or equivalent work experienceÂ
5+ years of related work experienceÂ
TS/SCI with Poly Â
Exceptional organizational skills and attention to detail Â
Strong written and verbal communication skillsÂ
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)Â
Ability to handle multiple tasks simultaneously and prioritize effectivelyÂ
Discretion and confidentiality in handling sensitive informationÂ
Excellent interpersonal skills and professional demeanorÂ
Ability to work independently and as part of a teamÂ
Flexibility to work outside of regular business hours when necessaryÂ
Proficiency in travel booking systems and expense management software Â
Strong knowledge of travel industry trends and best practices Â
Knowledge of corporate travel policies and expense regulations Â
Experience with SAP Concur or similar travel and expense management platforms  Â

Pay Range:
There are a host of factors that can influence final salary including, but not limited to, geographic location, Federal Government contract labor categories and contract wage rates, relevant prior work experience, specific skills and competencies, education, and certifications.
