Job Summary:

As the driving force behind our fleet and facilities operations, the Fleet & Facilities Manager is a high-impact leadership role where you get to keep our vehicles running and our buildings in top shape company-wide! In this position, you will champion our company mission by overseeing preventative maintenance and repairs for our fleet and facilities, managing vendor and contractor relationships, and developing operating and capital budgets that keep our assets safe, reliable, and cost-effective. You will collaborate closely with Operations, Safety and Loss Prevention, Finance, and local Management to ensure every location stays compliant, professional, and running smoothly, all while building and developing a high-performing maintenance team. A Day in the Life:  Fleet & Facilities Manager:

An average morning starts with a check of overnight activity — reviewing any emergency repairs or roadside calls that came in, scanning open work orders in the fleet and facilities management systems, and prioritizing what needs attention first. You might touch base with your maintenance team to set priorities for the day, or review fleet inspection and registration records to make sure everything stays current.

Mid-morning often shifts to the buildings and grounds side — you could be reviewing the status of an HVAC or roofing repair, walking through a facility inspection with Safety and Loss Prevention, or evaluating a contractor's proposal for an upcoming renovation or capital project. You're also likely approving invoices and purchase orders, and checking in on inventory levels for repair parts and supplies.

After lunch, the focus tends to turn strategic — analyzing fleet and facility KPIs like uptime, repair turnaround, and cost per asset to spot trends, meeting with Operations, Finance, or Location Management on a budget item or facility initiative, or negotiating terms with a vendor or contractor. You might also be recommending a new maintenance technology or refining a preventative maintenance strategy to cut down on downtime.

Late afternoon is for closing the loop — following up on open work orders, confirming permits and compliance documentation are in order, and making sure your team has what they need to finish strong. Because emergencies don't keep business hours, you're always ready to respond if a fleet or facility issue comes up after the day winds down. Strategic thinking, sound judgment, and strong organization carry through every part of the role, whether you're in the office, on a job site, or on the road between locations.

Job Duties

Fleet Management

• Maintenance & Repair: Oversee maintenance, repair, licensing, and replacement of the company's vehicle and heavy equipment fleet.

• Preventative Maintenance: Develop and manage preventative maintenance schedules to maximize fleet reliability and minimize downtime.

• Fleet Monitoring: Monitor fleet utilization, operating costs, fuel consumption, and maintenance expenses.

• Emergency Response: Coordinate emergency repairs and roadside service as needed.

• Recordkeeping: Manage fleet records, inspections, registrations, warranties, and maintenance history.

• Capital Planning: Evaluate fleet replacement schedules and recommend capital investments.

Building & Facility Maintenance

• Preventative & Corrective Maintenance: Direct preventative and corrective maintenance for all company facilities, grounds, and equipment.

• Infrastructure Repairs: Oversee repairs involving HVAC, electrical, plumbing, roofing, lighting, security systems, and general building infrastructure.

• Inspections & Compliance: Coordinate facility inspections as required, working closely with Safety and Loss Prevention to ensure compliance with safety, fire codes, ADA requirements, and environmental regulations.

• Facility Planning: Develop long-term facility maintenance and capital improvement plans.

• Renovations & Contractors: Manage facility renovations, remodeling projects, and contractor activities.

• Facility Standards: Ensure company buildings present a safe, clean, and professional environment for associates and customers.

Financial Management

• Budgeting: Assist with development and administration of annual operating and capital budgets.

• Expense Monitoring: Monitor maintenance expenses, labor costs, contractor expenditures, and assets.

• Cost Analysis: Analyze maintenance trends and identify opportunities for cost savings and operational efficiencies.

• Purchasing: Approve invoices, purchase orders, and equipment purchases.

• Financial Alignment: Ensure departmental financial performance aligns with organizational goals.

Vendor & Contractor Management

• Vendor Selection: Select, negotiate, and manage relationships with maintenance contractors, equipment vendors, suppliers, and service providers.

• Performance Evaluation: Evaluate contractor performance based on quality, responsiveness, safety, and cost.

• Contract Management: Maintain service agreements and contracts while ensuring vendor compliance with company standards.

• Warranty Coordination: Coordinate warranty work and vendor-supported maintenance services.

Asset Management

• Inventory Management: Maintain accurate inventories of fleet assets, facilities, maintenance equipment, and tools.

• Asset Tracking: Implement, maintain, and manage asset tracking and maintenance management systems.

• Lifecycle Planning: Monitor equipment life cycles and recommend replacement strategies.

• Supply Management: Ensure proper inventory levels of supplies and repair parts.

Safety & Compliance

• Regulatory Compliance: Work closely with Safety and Loss Prevention to ensure compliance with OSHA, EPA, DOT, and all applicable federal, state, and local regulations for both company fleet and facility assets and operations.

• Safety Inspections: Conduct facility and fleet safety inspections.

• Documentation: Maintain required documentation, permits, certifications, and maintenance records.

Strategic Planning & Continuous Improvement

• Maintenance Strategy: Develop preventative maintenance strategies and processes that reduce downtime and extend asset life, while working within budget.

• Performance Metrics: Utilize maintenance metrics and KPIs to improve operational performance.

• Technology Solutions: Recommend technology solutions to improve maintenance efficiency and reporting.

• Cross-Functional Collaboration: Collaborate with Operations, Professional Services, Safety, Finance, and Location Management on facility and fleet initiatives.
