About the Role

We are looking for an energetic, organized, and people-focused Activities Coordinator to help plan and deliver an engaging activity program for our international students at EF's Tarrytown campus.

Our activities are an important part of the student experience. From exploring New York City and attending sporting events to weekend trips, on-campus events, and evening socials, the Activities Coordinator helps students experience everything the New York area has to offer while building friendships and making the most of their time abroad.

This role combines event planning, student engagement, customer service, administration, and hands-on activity leadership. You'll help coordinate the activity calendar from behind the scenes while also being present with students, supporting Activity Leaders, promoting upcoming events, and helping activities run safely and successfully.

No two days look exactly the same. We're looking for someone who can be creative and enthusiastic with students while also staying organized, solving problems, and keeping track of the details that make a busy activity program work.

Key Responsibilities

  • Assist in planning, coordinating, and executing a varied calendar of activities, excursions, events, and overnight trips
  • Help develop activities based on student interests, feedback, attendance trends, and seasonal opportunities
  • Coordinate activity logistics including transportation, tickets, reservations, vendors, schedules, staffing, student lists, and activity materials
  • Communicate with external vendors and local partners to confirm bookings, pricing, schedules, and activity details
  • Promote activities to students through in-person engagement, digital platforms, social media, flyers, and other campus communication channels
  • Encourage student participation and help students understand activity options, pricing, schedules, and sign-up procedures
  • Respond to student questions, feedback, and activity-related concerns in a friendly and timely manner
  • Support Activity Leaders with activity preparation, instructions, materials, student lists, and day-of logistics
  • Lead and accompany student activities and excursions as needed
  • Help ensure activities are operated safely and in accordance with EF policies and procedures
  • Monitor activity attendance, student feedback, and operational issues to identify opportunities for improvement
  • Assist with tracking activity costs, ticket inventory, bookings, participation, and other program-related information
  • Support new student arrivals, orientations, welcome activities, and other campus events
  • Work closely with the Activities Manager and other campus teams to support the overall student experience
  • Assist with other student services and campus responsibilities as needed

  • Friendly, outgoing, and confident working with students from a wide variety of countries and cultures
  • Ability to balance administrative responsibilities with a highly social, student-facing role
  • Comfortable coordinating multiple activities, deadlines, and priorities at the same time
  • Creative and enthusiastic about developing experiences students will want to participate in
  • Able to remain calm, flexible, and solution-focused when plans change or unexpected situations arise
  • Comfortable leading groups and communicating instructions clearly
  • Reliable, punctual, and able to work both independently and as part of a team
  • Comfortable using Microsoft Office and learning new digital platforms and systems
  • Knowledge of New York City and the surrounding area
  • Ability to work a flexible schedule, including some evenings and weekends based on the activity calendar
  • Previous experience in activities, events, tourism, hospitality, camps, education, customer service, or a related field is preferred

Additional Qualifications

  • Bachelor's degree preferred, but not required
  • Previous experience working with international students or young adults is a plus
  • Event planning, tour guiding, group leadership, or travel industry experience is a plus
  • Additional language skills are a plus
  • Valid driver's license is a preferred

Compensation for this role is $40,000 per year. This position is not eligible for on campus housing.
