The Toledo Clinic's Dermatology Department (Nahhas Dermatology) is seeking a full-time Receptionist/Administrative Assistant to provide front office support in a busy medical office.  This position will be scheduled Monday - Thursday (7:00am - 4:30pm).  Previous experience in a medical office, preferably Dermatology, is preferred.


General Summary


Provides friendly, professional support to patients while managing scheduling, phones, check in/check out, and general administrative duties. Assists with skincare product sales and maintains an organized, welcoming office environment.

Works under the supervision of the Office Manager.


Essential Duties & Responsibilities

  • Consistently arrives at work on time and adheres to regular work schedule.
  • Greet patients warmly and professionally and creates a welcoming experience.
  • Checks patients in and out accurately and efficiently.
  • Answer incoming calls, route messages, and assist with general patient questions.
  • Schedule, confirm, reschedule, and cancel medical and cosmetic appointments.
  • Verify patient demographic and insurance information.
  • Collect copays, balances, cosmetic payments, and other patient payments.
  • Maintain patient confidentiality and follow HIPAA requirements.
  • Assist patients with forms, portal access, and general practice information.
  • Communicate professionally with patients both in person and by phone.
  • Serve as a knowledgeable resource for the practice's professional skincare products.
  • Proactively engage patients regarding skincare products and current promotions.
  • Assists the Office Manager and Providers with day-to-day administrative needs.
  • Scan, upload, organize, and maintain patient documents and records.
  • Monitor incoming faxes, correspondence, and administrative requests.
  • Maintain an organized and professional reception and waiting area.
  • Assist with office and retail supply inventory.
  • Perform additional clerical and administrative duties as needed.
  • Work collaboratively with clinical staff to maintain efficient patient flow.

  • Excellent communication, phone, and organizational skills required. 
  • Computer skills helpful. 
  • Seeks appropriate tasks when primary tasks are completed and assists co-workers as needed. 
  • Demonstrates adaptability to expanded roles.

 

 

Education:

  • HS diploma or GED.

 

 

Preferred:

  • Previous medical office, dermatology, aesthetics, retail, or customer service experience preferred
