Job DetailsJob Location: VFRC - Vision Family Resource Center - Ukiah, CA 95482Salary Range: $28.80 - $34.56 HourlyVisión Family Resource Center 40 hours per week Bilingual English/Spanish required POSITION OVERVIEW Under general oversight and direction, the Project Coordinator is primarily responsible for overall operations of the Vision Family Resource Center and the overall program budget, including any required tracking and reporting. This position is additionally responsible for the implementation and coordination of the strategies and activities to meet the overall goals and/or funder requirements of a particular project(s). This is a highly collaborative position that requires creativity, an ability to think strategically, and above average communication and organizational skills. This position may be called upon to act as a liaison to local, regional, state, or federal partners, as well as engage with clients and members of the community, requiring a high level of professionalism and emotional intelligence, and the ability to be an effective communicator and presenter. Bilingual English/Spanish required. ESSENTIAL DUTIES AND RESPONSIBILITIES. FRC Oversight and Operations Provide regular updates to the Program Director regarding program status, activities, and management issues, including the submission of a monthly written report. Supervise assigned employees by providing training, strategic leadership, coaching, and ongoing performance oversight. Manage the day-to-day operations of current grant-funded projects and promotes collaboration to improve efficiency and eliminate duplication of effort. Lead and foster collaboration with internal and external project partners, including fiscally sponsored programs. Develop, maintain, and update the FRC Operations Manual. Serve as the primary point of contact for federal, state, and local funders and oversee staff to ensure grant deliverables, reporting requirements, and budgets are met in a timely manner. Make annual presentations to the NCO Board of Directors and provide presentations to community groups, partners, and stakeholders as needed. Collaborate with the NCO Grant Writer and Budget Analyst to identify funding opportunities, develop proposals, and secure additional resources. Implement NCO policies and procedures; monitor program performance; and ensure appropriate budgeting, coding, compliance, and financial oversight of grant- and project-funded activities. Approve employee reimbursements, process financial transactions, and oversee related fiscal activities, including accounts receivable, accounts payable, deposits, and payment requests. Partner with NCO directors, administration, and other members of the management team to maximize operational efficiencies and strengthen existing processes through a continuous quality improvement approach. Plan, oversee, and conduct community outreach and engagement activities to increase awareness of FRC services and promote positive program outcomes. Ensure all communications, outreach materials, and program documents are culturally and linguistically responsive. Provide operational coverage and support for other FRC positions during staff absences or vacancies. Project Development, Implementation and Coordination Develop project materials, resources, and programming to support project goals and deliverables. Convene, coordinate, and facilitate meetings necessary for project development, implementation, and ongoing operations. Build and maintain professional, collaborative relationships with project partners, stakeholders, and affiliated agencies to support efficient implementation and successful outcomes. Oversee the collection, tracking, analysis, and reporting of project data to ensure compliance with NCO and funder requirements. Coordinate with the NCO Information Technology team to identify and secure necessary technological resources and support, following established access and request protocols. Monitor project progress, timelines, outcomes, and deliverables to ensure successful execution and compliance with funding requirements. Identify challenges and opportunities for improvement and work collaboratively with partners and staff to develop and implement effective solutions. General Stay informed about and comply with all NCO personnel policies and procedures both as an employee and as it relates to the role and duties of a supervisor as appropriate including completing staff evaluations. Adapt constructively to change. QualificationsJOB QUALIFICATIONS Education, Training and Experience: Level I: A minimum of three years of successful experience in a similar position or related field. Level II (in addition to Level I):  A minimum combination of education and experience equivalent to an associate degree in a related field (such as Business or Public Administration, Health & Human Services, etc.) from an accredited school. A minimum of one year’s experience in the same or similar position. Past experience with project-based work and/or administration of grant-funded programs is preferred. Level III (in addition to Level II):  A minimum combination of education and experience equivalent to a bachelor’s degree in a related field from an accredited school. Requires supervision of other project staff. Requires responsibility of project budget(s), following the policies and procedures of NCO and it’s accounting department practices. Bilingual English/Spanish is required. Knowledge of: Principles and practices of effective interpersonal communications. Current standard office practices, procedures, and equipment. Computer operations as relates to the duties of the position; including use of the internet and cloud-based systems, email and spreadsheet programs is essential; familiarity with Office 365 and Microsoft products is preferred. General accounting processes relating to budget management. Principles and techniques of research, analysis and grant and report writing. Ability to: Interact with others in a culturally and emotionally sensitive manner. Communicate effectively and appropriately verbally and in writing in English is required. Organize duties and tasks to meet established deadlines, delegating tasks as appropriate. Take direction and work with supervisor to ensure priorities are correctly aligned and accomplished. Be effective working independently and as a collaborative team member. Analyze demographic and program statistical data to assist in effective planning and project management. Plan, direct, delegate, evaluate and supervise the work of others in accordance with applicable laws and Agency policies. Use good judgment, creativity; tactful, thorough and dependable. Train and facilitate small to medium sized groups of adults is desired. Work a flexible schedule to accommodate attending scheduled works events and professional development opportunities. Necessary Special Skills & Requirements: Must be at least 18 years of age. For work-related driving, must have a valid California driver’s license, a verifiable good driving record, and access to a vehicle with insurance that covers the employee as a driver OR reliable transportation with proof of automobile insurance. WORK ENVIRONMENT/PHYSICAL DEMANDS While performing the duties of this job, the employee is regularly required to talk, hear, listen, and communicate clearly; The employee frequently is required to sit; use hands to finger, handle or feel objects, use manual and automatic office equipment, and reach with hands and arms. Specific vision abilities required by this job include close and distance vision, peripheral vision, depth perception, and the ability to adjust focus. The ability to travel during the day and/or night, sometimes long distance – possession of a valid California Driver’s License and access to an insured vehicle is required. Interaction and contact with outside agencies, vendors, funders, volunteers, donors, and contributors is a frequent aspect of this job.
