Administrative Support Specialist

Ecocert USA/NICS, part of the Ecocert Group, a global leader in organic and sustainability certification, is seeking an Administrative Support Specialist to join our Viroqua administrative team. This role is ideal for someone who is organized, detail-oriented, service-minded, and comfortable supporting clients, coworkers, and recurring administrative workflows.

NICS and Ecocert USA are part of the Ecocert Group, which is a global organization focused on sustainability and excellence in organic certification. The ideal candidates will have an interest in, or understanding of, foods systems and farming practices, with an emphasis relating to the organic industry being preferred. The ability to work collaboratively with clients and coworkers with attention to detail is necessary, as are excellent organizational skills, and the ability to multi-task in a fast-paced environment.  Customer Service experience is also a plus! This role is a hybrid position situated in the Viroqua office, with the opportunity to work from home up to 2 days a week. 

 

Primary duties will include, but are not limited to, the following:

  • Provide initial customer service to clients in person, via e-mail, and on phones
  • Answer, qualify and transfer incoming phone calls to appropriate departments
  • Provide basic and accurate information in-person and via phone/email
  • Receive, sort, scan, and distribute daily mail/deliveries, as applicable
  • Assist with bulk mailings
  • Order front office supplies and keep inventory of stock
  • Processing and data entry of client paperwork and applications
  • Respond to requests for organic certificate confirmation and records
  • Perform other miscellaneous clerical duties such as filing, photocopying, emailing, mailing and faxing documents


Preferred Skills and Qualifications (nice-to-haves!):

  • Associate degree in administration or administrative experience
  • Detail-oriented, with excellent oral and written communication skills.
  •  Strong interpersonal and teamwork skills
  • Highly self-organized with the ability to prioritize work and manage multiple projects and deadlines while maintaining quality standards consistently.
  • Experience using Microsoft Office Suite, internet research, and databases
  • An interest or understanding of agriculture and/or livestock systems
  • An interest or understanding of organic food systems
  • A willingness to understand the National Organic Program (NOP) regulations
